Key Responsibilities
- Requisition & Scheduling Coordination Coordinate the day-to-day administrative activities of the recruiting process, including posting requisitions, scheduling phone screens and interviews, and managing calendar logistics for hiring managers and candidates
- Support job posting administration across external job boards and LinkedIn, ensuring postings remain current, accurate, and consistent with approved templates
- Maintain and update the weekly recruitment tracker, reconciling open requisitions against Workday exports and flagging discrepancies to the Recruiting Manager
Candidate Experience & Data Integrity
- Maintain accurate and current candidate records in Workday, including applicant status updates, disposition codes, and requisition data, ensuring the ATS reflects real-time pipeline activity
- Support recruiters and hiring managers by preparing interview packets, scorecards, and candidate communication templates, and by tracking candidate progression through each stage of the hiring process
- Respond to routine candidate inquiries and internal requests for recruiting status updates, escalating complex issues to the appropriate HR team member
Pre-Employment & Onboarding
- Support Assist with pre-employment processes, including background checks, drug screens, reference checks, and employment verifications, and follow up to ensure timely completion
- Prepare and distribute offer letters and new hire paperwork, and coordinate with HR Operations to ensure a smooth handoff from offer acceptance to onboarding
- Maintain organized, compliant recruiting files and documentation in accordance with company record-retention standards and I-9/E-Verify requirements
Administrative & Team Support
- Provide general administrative support to the Talent Acquisition team, including data entry, report generation, and other duties as assigned
Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field required
- 1–3 years of experience in an administrative, coordinator, or recruiting-support role
- Working knowledge of applicant tracking systems (Workday preferred) and strong proficiency in Microsoft Office, particularly Excel and Outlook
- Excellent organizational skills and attention to detail, with the ability to manage multiple requisitions and competing deadlines simultaneously
- Strong written and verbal communication skills, with a professional, service-oriented approach to interacting with candidates and hiring managers
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive candidate and employee information

Physical & Work Environment Requirements
- Ability to sit, use a computer, and perform data entry for extended periods
- Primarily an office-based role with regular use of phone, email, and video conferencing
- Occasional travel to assigned facilities may be required
- Ability to manage a high volume of tasks, calls, and correspondence in a fast-paced environment
