Job Title: Human Resources Assistant
Reports To: Human Resources Manager or Director of Administrative Services

Since 1970 CLARE|MATRIX has provided quality substance abuse and mental health treatment to men, women, and children in southern California.
Through programs run by a compassionate, committed, results-oriented team of counselors, therapists, and administrators, CLARE|MATRIX continues to build its reputation as a leader in Evidence-Based Treatment practices and continues to break new ground in the areas of positive outcomes, outreach, research, and community involvement.

Summary
The Human Resources Assistant will spend time between supporting the Human Resources Department, and some functions that have overarching agency benefits. Other functions include but are not limited to payroll, recruiting and on-boarding, employee benefits, leaves of absence, workers’ compensation, health and safety, and record compliance. To excel in this role, you should be an excellent communicator and maintain confidentiality for the Human Resources Department.
Specific Responsibilities
- Meet and greet all incoming visitors
- Support New Hire Orientation, assist with taking new hire photos, assign parking spaces, greet and direct new hires, coordinate lunches as needed, etc.
- Maintain conference room and virtual meeting schedules for the administrative office and ensure meeting spaces are prepared prior to use
- Maintain employee files and scan employee documents
- Manage office mail: Postage machine operation, receive and sort mail as appropriate for administrative staff and clinical programs; deliver outgoing mail to the post office.
- Manage messengering service, UPS, USPS and Fedex incoming and outgoing packages
- Receipt of all incoming A/R – document and distribute to appropriate departments.
- Assist with coordination of the monthly All Staff meeting
- May need to assist other departments with filing, scanning, small projects as assigned, etc.
- Manage office supply orders in partnership with accounts payables
- Maintain front office and breakroom appearance
- Maintain documents: Phone list, Who to Call flowchart, etc.
- Assist with COVID related issues: contact tracing, maintaining positive case log, update the weekly/monthly test tracker, outgoing communication to all staff as appropriate.
- Assist with employee timecard review and payroll processing
- Actively participate on the Spirit Committee
- Maintain up to date knowledge of federal and state employment laws, as well as COVID policy
- Performs related duties as assigned.
Knowledge, Experience & Skills
- High School diploma or equivalent required; Associates degree in Office Administration or related field preferred.
- Excellent verbal, written and interpersonal communication skills.
- Excellent time management skills with a proven ability to meet deadlines.
- Knowledge of personnel administration policies and practices.
- Excellent organizational and problem-solving skills.
- Ability to deal with highly confidential information.
- Must possess strong service-orientation skills.
- Ability to build relationships, credibility and trust with employees and management.
- PC proficient, including Microsoft Office (Word, Excel, PowerPoint, Outlook) and the Internet.
Physical Demands
While performing the responsibilities of the job, the employee is required to talk and hear. The employee is often required to sit and use their hands and fingers, to handle or feel. The employee is occasionally required to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl. Vision abilities required by this job include close vision.
