Transdev North America is seeking an Administrative Assistant in Phoenix, AZ to support daily office operations and assist management with scheduling and report preparation. The role involves data entry, filing, correspondence management, and ensuring accurate administrative processes in a fast-paced team setting.

The ideal candidate is highly organized, detail-oriented, and proficient in Microsoft Office, with at least two years of relevant experience.

Qualifications

  • High school diploma or equivalent.
  • Minimum 2 years of relevant experience.
  • College course work in a related field preferred.
  • Computer literate with intermediate knowledge of Microsoft Office.
  • Must be able to work shifts or flexible work schedules as needed.
  • DOT drug testing and physical if applicable.

Responsibilities

  • Coordinates documents, correspondence and web pages, including letters, reports, emails, presentations, memos, faxes, etc.
  • Administer accounting data, payroll, personnel records
  • Manage employee FMLA tracking
  • Ordering and maintaining inventory of office supplies
  • Quality Assurance Checks ensuring compliance with background checks, drug and alcohol screens, and E-Verify requirements
  • Maintains confidentiality of all information; comply with HIPAA regulations.
  • Other duties as required

Physical Requirements
  • Sit for extended periods (up to 6–8 hours per day); frequently walk for long distances and on possible sloped ground or slippery and uneven surfaces
  • Push and pull objects up to 25 pounds, occasionally throughout the workday; lift material weighing up to 25 lbs. with or without assistance; occasionally bend, kneel, or crouch to files or equipment stored at ground level
  • Withstand heavy traffic areas while performing the duties of the job; tolerate exposure to considerable amounts of dust, vehicle fumes and noise
