Job description

The Coordinator for Housing Operations serves in a critical position that is responsible for the delivery of services in the residence halls including desk operations, furniture and facility inspections, logistical planning and execution, emergency planning, hurricane response, emergency housing relocation, and collaboration with campus partners to ensure delivery of services. This position is one of two Coordinators for Housing Operations who share these responsibilities.

The Department of Housing and Residence Life at Tulane University provides housing, programming, and related services for approximately 5,000 students generating $45 million in annual revenue.

Responsibilities

Function: Administrative

Oversees the desk service program including hiring, supervision, training, and routine inspections.

Creates a systematic training and oversight program for desk operations during the academic year.

Assists in development and implementation of residence hall desk policies and procedures related maintenance, safety, and security to ensure commitment to and ability to provide excellent service.

Oversees the facilities assistant student program including hiring, supervision, training, and routine inspections.

Creates, distributes, and continually updates the desk operations manual.

Works with critical Tulane Police Department, Campus Services, and Facilities in the delivery of desk operations that exceed national standards.

Inspects desk operations weekly.

Troubleshoots and responds to issues that impact desk operations and security of the buildings.

Participates in the planning and execution for all logistical events in housing including move-in, move-out, winter closing, health and safety inspections, etc.

Communicates issues with leased equipment vendors in a timely manner.

Function: Facilities

Assists in the management and tracking of the maintenance and upkeep of the University residence halls and furnishings, including student/community notification of damage and billing.

Maintains accurate inventories of spare furniture.

Assists in the implementation of daily and end-of-semester damage billing process to recuperate costs due to student damage.

Assists in the oversight of health and safety inspections - communication with other staff members, spreadsheets, and data entry of damages, fines and work orders.

Serves as liaison with Facilities Services about any issue that impacts the students living in housing.

Coordinates emergency housing moves, furniture removal, personal belongings removal, and other logistics as needed.

Assists in the coordination of break housing processes, including University breaks during academic year and all fall/spring early arrivals including pre-season athletes, orientation and first year students.

Manages key inventory tracking and distribution systems for all residence hall keys.

Function: Customer Service Operations

Performs consistent follow-up and communication regarding maintenance and custodial issues reported to the Housing and Residence Life office.

Assists in development and implementation of policies and procedures related maintenance, safety, and security to ensure commitment to and ability to provide excellent service.

Serves as part of the Housing and Residence Life crisis response team.

Responds to all customer (student, parent, faculty, staff, community) inquiries regarding housing operations and damage billing within a 24-hour time frame.

Works cooperatively with constituents to ensure timely and successful resolution of requests/issues.

Function: Department and Divisional Support

Develops and maintains communications regarding important dates and events for residential students and their families, in collaboration with Associate Director of Facilities.

Serves as a department liaison to facilities, custodial, police/security and dining services, and to other auxiliary service areas.

Serves as a resource during student emergency & crisis situations as well as department housing or facilities emergencies.

Assists in the management and delivery of departmental programs such a laundry service and micro-fridge.

Detail-oriented, student-focused, collaborative, and willing to work evening hours as appropriate to meet University-scheduled deadlines.

Exhibits a willingness to learn new tasks.

Seeks the assistance and guidance of supervisor prior to beginning an unfamiliar assignment.

This position is consideredESSENTIAL – Level 1. This means that when there is an emergent situation at the university, you may be called upon to support Student Affairs response. This includes but is not limited to the university’s response to hurricanes before, during and after the event, and other weather incidents. Your individual supervisor will discuss the nature of your specific responsibilities as they are able to do so. You should not assume that being in this category means that you must remain in New Orleans for every critical incident, but it does mean that you may have responsibilities during critical incidents.

Qualifications

Minimum Qualification:

  • Bachelor’s Degree with 1 years of related operational experience
  • High School Diploma (or Equivalent) with 7 years of related operational experience

Preferred Qualification:

  • Master’s Degree in Student Affairs or a related field
  • 3 years of experience in a comprehensive housing and residence life program serving a comparable on-campus population to Tulane.
  • Outcomes oriented planning. Flexible, innovative management style that delivers on outcomes required for a modern learning enterprise.
  • Team player with a positive outlook dedicated towards constant improvement.
  • Previous supervision/oversight experience of student staff.
