Overview

The Administrative Assistant supports the housekeeping department with clerical and administrative duties, ensuring smooth operations and providing courteous service to guests.

Responsibilities
  • Greet and welcome guests according to Highgate Hotel standards.
  • Answer and respond to telephone and email messages.
  • Stay updated with the latest computer programs and innovations.
  • Open and distribute mail, file correspondence promptly.
  • Type all departmental correspondence and meeting minutes.
  • Maintain office supplies inventory and ensure office operations run smoothly.
  • Prepare Banquet Event Orders (BEOS) for catering needs.
  • Assist with daily operations of the Business Center as needed.
Qualifications
  • High School diploma or equivalent; hotel or related field experience preferred.
  • 2-3 years of progressive experience in a hotel or related field preferred.
  • College coursework in a related field is helpful.
  • Proficiency in computer skills required.
  • Flexibility to work long hours sometimes.
  • Light physical effort, lifting up to 20 pounds occasionally and 10 pounds frequently.
  • Maintain a warm, friendly demeanor and effective communication skills.
  • Ability to multitask, prioritize, and handle problems proactively.
  • Attend all required meetings and training sessions.
  • Maintain personal appearance and grooming standards.
  • Comply with hotel standards and regulations for safety and efficiency.
  • Demonstrate initiative and confidentiality, and cross-train in other hotel areas.
