Job summary

Corpay's ALE Solutions division seeks a Hotel Administrative Specialist to support the Hotel Department with admin duties, including task management, claims entry, and e-filing. Report to the Hotel Operations Manager in a collaborative team environment in St. Charles, IL.

You will handle data entry in ACT and MyALE Claims portal, assist with communications to hotels, and help with policy notifications, documentation, and ongoing projects, contributing to smooth hotel operations.

Qualifications

• High school diploma or equivalent preferred.
• 2+ years of related experience preferred.
• Proficient in Microsoft Office (Excel/Word/Outlook).
• Experience with ACT database is a plus.
• Strong verbal and written communication; highly organized.
• Detail-oriented with sharp problem-solving and multitasking.
• Ability to collaborate and support teammates.

Responsibilities

• Maintain Task Manager and assign tasks to staff.
• Enter new claims into ACT/MyALE Claims portal.
• Distribute new claims to Hotel Coordinator based on data.
• Support projects assigned by Hotel Ops Manager/Lead Coordinator.
• Update electronic files and ensure accuracy in ACT database.
• Assist with policy holder text notifications.
• Call hotels to confirm check-out and other tasks.
• Assist with HA collections by reminders or calls.
• Verify paperwork on new bookings.
• Perform other duties as assigned.
