Job summary

Guest Services, Inc. is seeking an organized, service-focused Event Coordinator to support the DoubleTree Suites by Hilton Naples.

You will coordinate event details from planning through execution and assist with daily sales office tasks, ensuring clear communication and exceptional guest experiences. Ideal candidates have 1–3 years in hotel or hospitality settings, strong organizational and communication skills, and proficiency with Microsoft Office.

Qualifications

• 1-3 years hotel or hospitality experience preferred.
• Strong organizational and communication skills.
• Attention to detail and ability to manage multiple priorities.
• Proficiency with Microsoft Office; hotel sales system experience a plus.

Responsibilities

• Coordinate event details including meeting space, menus, room blocks, audiovisual needs, and event timelines.
• Serve as a welcoming point of contact for clients throughout the planning process and respond to requests with professionalism and care.
• Prepare and distribute Banquet Event Orders (BEOs) and event documentation, ensuring details are accurate and communicated to operational departments.
• Manage wedding and group room blocks, including guest communication, reservation coordination, and assisting clients and guests with rooming details.
• Support the Sales department with administrative responsibilities including preparing contracts and correspondence, maintain accurate records in the sales system, and assisting with office coordination and reporting.
