About the role

As a Hospitality Associate, you'll be the welcoming face of Embark's headquarters and a key part of a hospitality team that is known across the firm for its clarity, warmth, and genuine "how can I help" attitude. Your home base is the front desk, where you'll keep daily operations running smoothly and make sure every employee and guest feels genuinely taken care of from the moment they walk in.

This is a role for someone who thrives on variety, takes ownership without being asked, and finds satisfaction in the details that most people don't notice but everyone feels. This is a fully in-person role at our headquarters, and it's perfect for someone who wants to be at the heart of the action.

What you'll be doing

Front desk and guest experience

  • Be the first point of contact for everyone who walks through our doors, greeting guests and employees with warmth and making sure every interaction feels intentional
  • Oversee building vendors, provide direction as needed, and keep daily operations running smoothly behind the scenes
  • Support office opening and closing, ensuring all facilities, equipment, and shared spaces are secure and operational each day

Office operations and facilities

  • Keep the workspace stocked, functional, and inviting — managing office supplies, snacks, and beverages and partnering with vendors to ensure timely restocking
  • Handle all incoming and outgoing mail, packages, and deliveries with care and ensure timely distribution
  • Schedule and prepare conference rooms for meetings, ensuring they're organized, equipped, and ready for both internal teams and client groups
  • Oversee employee access to building platforms and travel programs, maintaining accurate rosters and supporting smooth onboarding and updates as team needs evolve
  • Assist with office deliveries, furniture setup, and space reorganization as needed; comfortable with occasional lifting up to 30 lbs

Hospitality team support

  • Coordinate catering for meetings and office events ranging from 10 to 100 people
  • Support Embark-hosted events by welcoming guests, preparing materials, and managing on-site details that create memorable experiences
  • Jump in on hospitality team initiatives and projects as they evolve! This team moves fast and there's always something meaningful to contribute to
To be a great fit, you'll have
  • An associate's degree required; bachelor's degree preferred
  • A genuine passion for serving others — you go above and beyond not because you have to but because that's just how you operate
  • Exceptional organization and attention to detail; you manage multiple priorities without dropping the ball
  • Strong interpersonal and communication skills — warm, polished, and solutions-oriented in every interaction
  • Proficiency with modern workplace tools; the team works heavily in Google Workspace, Slack, and AI
  • A hands‑on, in‑person approach — you're comfortable in an active role and don't shy away from the physical side of keeping an office running
