Job summary

Providence at Home with Compassus seeks an Office Manager to lead the Home Health Business Office, coordinating billing, payroll, onboarding, and records. You will supervise staff, ensure timely invoicing, maintain confidential records, and support EMR reporting, while upholding Compassus values and quality standards.

The role requires strong organizational skills, experience with insurance billing, and the ability to work across HR, Payroll, and leadership teams.

Qualifications

• High school diploma or GED is required.
• Bachelor’s degree preferred.
• Two years of office experience with at least one year in a supervisory capacity.
• Experience in insurance and Medicare/Medicaid billing and reimbursement preferred.

Responsibilities

• Maintains updated financial records including accounts payable and deposits.
• Ensures invoices are approved by the Executive Director before sending to Accounts Payable.
• Orders office supplies, forms, collateral materials, logo wear, and medical supplies.
• Oversees monthly reconciliation for Compassus purchasing cards.
• Assigns workflow tasks, trains new users, and ensures timely data entry and reporting in the EMR.
• Onboards new team members and manages payroll, personnel files, EMR, and badge processes.
• Maintains confidential records such as personnel files and employment applications.
• Tracks licenses, insurance, and trainings through a personnel file audit policy.
• Processes payroll according to company procedures.
• Serves as a liaison between staff and HR/Payroll for recruiting, onboarding, payroll, HRIS, benefits.
• Monitors quality indicators and maintains minutes of QAPI meetings.
• Maintains a master calendar of program activities for regulatory agencies.
• Prepares for regulatory reviews and directs office staff accordingly.
• Manages general facility maintenance and office equipment troubleshooting.
• Maintains inventory records for program equipment and assists with equipment tracking.
• Records daily census and reports to leadership promptly.
