Job summary

U.S. Facilities, Inc. seeks an HMMS Planner/Scheduler to support the Virginia Department of Transportation (VDOT) Hampton Roads Harbor Tunnels maintenance, at client sites in Suffolk/Newport News, VA.

You will manage work orders from inception to completion, ensuring compliance with VDOT contracts and SOPs. The role requires 2+ years in admin support, strong MS Office skills, and experience with procurement, budgeting, and contract purchasing.

Qualifications

• Minimum of 2 years’ experience in an administrative support role.
• Proficiency in MS Office (Word, Excel, Outlook) is required.
• Ten-key data entry and keyboard typing proficiency is required.
• Strong written and oral communication skills in English.
• Experience in corporate communications: report prep/formatting/delivery.
• Strong organizational and time-management abilities.
• Ability to multi-task in a fast-paced environment.
• Basic understanding of contracts and purchasing.
• Preferred budgeting/financial documentation experience.
• Knowledge of Hampton Roads Interstate/local roadways is a plus.
• Knowledge of the construction industry/trades is a plus.

Responsibilities

• Prepare procurement packages for approval and payment.
• Manage work order process from inception to completion.
• Develop quotations and scope of work for vendors.
• Coordinate and schedule all work by outside contractors.
• Report status and present information professionally to management.
• Update HMMS work orders and maintain files.
