Job summary

U.S. Facilities, Inc. is seeking an HMMS Planner/Scheduler to support VDOT Hampton Roads Harbor Tunnels maintenance in Suffolk/Newport News, VA.

You will manage work orders from inception to completion, ensure compliance with contracts and SOPs, and coordinate with VDOT and vendors. Qualifications include a 2- or 4-year degree (preferred) or a high school diploma/ GED, at least 2 years in administrative support, strong MS Office skills, and solid organizational ability.

Qualifications

• 2- or 4-year degree in related field preferred.
• High school diploma or GED equivalent required.
• Minimum of 2 years' experience in an administrative support role.
• High level of proficiency in MS Office products.
• Ten-key data entry and keyboard typing proficiency.
• Strong written and verbal communication skills in English.
• Experience in corporate communications (reports, formatting, delivery).
• Strong organizational skills and ability to multi-task in a fast-paced environment.
• Basic understanding of contracts and purchasing; budgeting experience preferred.
• Knowledge of Hampton Roads Interstate/local roadways preferred.

Responsibilities

• Prepare procurement packages for approval/payment.
• Manage Work Order process and development.
• Develop quotations and scope of work for vendor work.
• Implement and work within contract requirements.
• Conduct qualified eVA and SWaM vendor searches.
• Obtain Certificate of Insurance from vendors.
• Issue Goods and Services Request for funding approval.
• Coordinate and schedule all work by outside contractors with VDOT.
• Coordinate appointments with VDOT maintenance and vendors.
• Update HMMS work orders.
• Develop and maintain files on contractor work orders, quotes and invoices.
• Process invoices and resolve invoice disputes.
• Prepare status reports and present to management in a professional manner.
• Handle multiple projects and tasks concurrently.
