Job summary

UP Health System – Portage is seeking a Release of Information Specialist to manage patient records requests and maintain confidentiality. You will work with Risk, Revenue Cycle, and Medical Records teams to ensure compliant, timely processing of information requests.

Ideal candidates have a High School Diploma, 2 years medical office experience, and strong organizational and communication skills. Proficiency in Microsoft Office and the ability to handle a stressful environment are essential.

Qualifications

• Education: High School Diploma or Equivalent Required.
• Preferred Minimum Work Experience: 2 years Medical Office experience Preferred.
• Requires critical thinking skills, decisive judgment and the ability to work with minimal supervision.
• Must be able to work in a stressful environment and take appropriate action.
• Works independently with proven organizational skills and attention to detail
• Must be able to prioritize multiple tasks and exercise sound judgment
• Demonstrates proficiency in verbal and written communication skills
• Excellent interpersonal skills and the ability to interact effectively and professionally with individuals at all levels; both internal and external
• Must be proficient in Microsoft Office (Word, Excel and PowerPoint)
• Excellent keyboarding skills and a working knowledge of personal computer functions

Responsibilities

• Works collaboratively with Risk Manager, Revenue Cycle Manager, Clinic Managers and Medical Records Supervisor to ensure adherence with state mandated turn-around times for release of patient information, customer satisfaction and patient care.
• Receives subpoenas and assesses the contents for appropriateness including indication of patient’s awareness of the request for records.
• Interacts with attorneys, judges and court clerks to accommodate litigation needs while protecting patient rights.
• Evaluates requests for protected health information to meet HIPAA, Hi-Tech, ARRA, state regulations and hospital policies.
• Enters information into the release of information logging system.
• Answers telephone calls and assists visitors, maintaining confidentiality.
• Retrieves patient records and identifies documents consistent with authorization.
• Knows what constitutes the Legal Health Record and where information is found in paper chart, Meditech, Athena, WebPT, Obix, OncoEMR, or Wound Expert.
