Job summary

Children’s Minnesota is seeking an Administrative Assistant II to provide proactive administrative support to the designated department and Director. You will handle phones, greet visitors, manage calendars, mail, supplies, and filing while safeguarding confidential information.

This role requires a high school diploma or GED and at least two years in a general office setting (or one year with specialized administrative training).

  • Excellent organizational abilities and teamwork.

Responsibilities

  • Answer telephones and greet visitors.
  • Maintain and schedule calendars for the department/Director.
  • Handle mail, forms, and filing systems; manage confidential information.
  • Order office supplies and arrange equipment repairs as needed.
  • Attend meetings and take minutes; compose correspondence for the Director.
  • Provide onboarding support and perform other duties as assigned.

Position Summary

The Administrative Assistant II provides proactive and proficient administrative support and operation of the designated department and/or Director and management within the designated department by performing a variety of administrative tasks, such as:

  • answering telephones
  • greeting and directing visitors
  • maintaining and scheduling appointment calendars
  • handle various forms of mail (i.e. paper, email, overnight express, fax)
  • ordering office supplies and furnishings
  • arranging for equipment repairs
  • maintaining filing systems and/or computerized record keeping systems and/or databases
  • completing standardized forms
  • handle all confidential correspondence and inter-department communications
  • attend meetings and take minutes
  • compose correspondence on behalf of the Director supported
  • provide on-boarding support, as needed
  • perform other duties, as assigned
License/Certification/Registration required? No
Education:
  • High school degree or GED, required
Experience:
  • Two-year experience in a general office setting OR one-year experience with completion of specialized training/certification in the administrative professional field, required
  • Experience in healthcare/hospital setting, preferred
Knowledge/Skills/Abilities:
  • Proficient and demonstrated competency in MS Office Suite applications
  • Strong oral and written interpersonal, communication and organizational skills
  • Ability to work within a team and as an individual contributor in a fast paced, evolving work environment
  • Ability to deal with highly confidential information in a professional manner
  • Ability to work under pressure and meet tight deadlines

The posted salary represents a market competitive range based on salary survey benchmark data for similar roles in the local or national market. Annual salaries displayed are based on full-time employment (40 standard hrs per week). Annual salaries for part-time positions will be prorated based on the employee’s scheduled weekly hours in relation to the full-time standard. When determining individual pay rates, we carefully consider a wide range of factors including but not limited to market indicators for the specific role, the skills, education, training, credentials and experience of the candidate, internal equity and organizational needs. In addition to your salary, this position may be eligible for medical, dental, vision, retirement, and other fringe benefits. Positions that require night, weekend or on-call work may be eligible for shift differentials or premium pay.
