Job summary

  • Order office supplies.
  • Arrange for equipment repairs.
  • Maintain filing and record-keeping systems.
  • Compose correspondence on behalf of the Sr Director.
  • Provide onboarding support for new hires.

Position Summary

The Administrative Assistant‑Senior serves as liaison while providing proficient administrative support and operation of the designated department and/or senior leader and staff within the designated department. In this role, the Administrative Assistant‑Senior will work independently within the established procedures associated with the specific job functions listed below.

Responsibilities
  • Screen calls and respond to or route routine inquiries from internal or external sources with appropriate correspondence or other messaging
  • Greet and direct visitors
  • Maintain and schedule appointment calendars
  • Handle various forms of mail (paper, email, overnight express, fax)
  • Order office supplies and furnishings
  • Arrange for equipment repairs
  • Maintain filing systems and/or computerized record‑keeping systems and/or databases
  • Complete standardized forms
  • Create and prepare presentations for internal and/or external meetings
  • Handle confidential correspondence and inter‑department communications
  • Attend meetings and take minutes
  • Compose correspondence on behalf of the Sr Director and Directors supported
  • Provide onboarding support for new hires and internal transfers, as needed
  • Manage and coordinate department policies and oversee the policy review process
  • Perform other duties as assigned
License/Certification/Registration Required?

Education
  • High school degree or GED, required
Experience
  • Three‑year experience in a general office setting OR one‑year experience with completion of specialized training/certification in the administrative professional field, required
  • Experience in healthcare/hospital setting, preferred
Knowledge/Skills/Abilities
  • Proficient and demonstrated competency in MS Office Suite applications
  • Strong oral and written interpersonal, communication and organizational skills
  • Ability to work within a team and as an individual contributor in a fast‑paced, evolving work environment
  • Ability to deal with highly confidential information in a professional manner
  • Ability to work under pressure and meet tight deadlines

Compensation and Benefits

The posted salary represents a market competitive range based on salary survey benchmark data for similar roles in the local or national market. Annual salaries displayed are based on full‑time employment (40 standard hours per week). Annual salaries for part‑time positions will be prorated based on the employee’s scheduled weekly hours in relation to the full‑time standard. In addition to your salary, this position may be eligible for medical, dental, vision, retirement, and other fringe benefits. Positions that require night, weekend or on‑call work may be eligible for shift differentials or premium pay.
