Qualifications

  • High school diploma or equivalent required; associate degree, trade certification, or facilities-related training preferred.
  • Minimum of three to five years of experience in facilities management, maintenance coordination, building operations, or a related role; healthcare facility experience preferred.
  • Working knowledge of general building systems, including HVAC, plumbing, electrical, lighting, security, fire safety, and basic construction or repair practices.
  • Experience coordinating vendors, contractors, work orders, repair schedules, and purchasing activities.
  • Ability to assess maintenance issues, prioritize repairs, follow up on service needs, and communicate clearly with staff and leadership.
  • Strong organizational skills with the ability to manage multiple priorities in a fast‑paced healthcare environment.
  • Basic computer skills, including email, spreadsheets, work order systems, purchasing systems, and documentation tools.
  • Commitment to maintaining a safe, accessible, professional, and patient‑centered care environment.

Responsibilities

  • Oversee daily facility operations, maintenance needs, and repair requests across clinical and administrative spaces.
  • Conduct regular facility inspections to identify safety concerns, maintenance needs, cleanliness issues, and opportunities for improvement.
  • Coordinate and assist with facility repairs, including plumbing, electrical, HVAC, furniture, fixtures, doors, locks, lighting, and general building maintenance.
  • Manage vendor relationships, including scheduling service visits, obtaining quotes, monitoring work quality, reviewing invoices, and ensuring timely completion of contracted services.
  • Serve as the primary point of contact for maintenance contractors, cleaning vendors, waste disposal services, security vendors, pest control, fire safety vendors, and other facility-related service providers.
  • Coordinate medical equipment repairs when needed by working with clinical leadership, biomedical service vendors, manufacturers, and internal stakeholders to minimize disruption to patient care.
  • Track and follow up on repair requests, preventive maintenance tasks, service tickets, warranties, equipment issues, and vendor work orders.
  • Assist with purchasing facility supplies, maintenance materials, repair parts, equipment, furniture, cleaning supplies, and other operational items as needed.
  • Maintain appropriate inventory of commonly used supplies, tools, materials, and replacement items to support timely facility repairs and operations.
  • Support compliance with applicable safety, health, infection control, accessibility, emergency preparedness, and regulatory requirements relevant to an FQHC environment.
  • Assist with safety rounds, emergency drills, facility audits, and corrective action follow-up related to building conditions or environmental safety.
  • Support minor renovation, space planning, office moves, clinic refreshes, and facility improvement projects as assigned.
  • Communicate facility issues, repair timelines, vendor updates, and operational impacts to leadership and affected departments in a timely manner.
  • Maintain accurate documentation related to inspections, repairs, vendor services, purchases, warranties, equipment service records, and preventive maintenance.
  • Collaborate with clinical, administrative, IT, operations, and leadership teams to ensure facilities support patient access, staff safety, and continuity of care.
  • Respond to urgent facility issues, outages, equipment failures, leaks, safety hazards, and other operational disruptions as needed.
  • Perform other related duties as assigned to support organizational operations and patient care delivery.
