Job summary

University of Southern California is seeking an administrative/secretarial professional to provide scheduling and coordination support for meetings, seminars, and travel. The role includes liaising with the Administrative Team, physicians, and department directors, and managing multiple priorities with confidentiality.

Responsibilities include coordinating schedules, handling calls, preparing materials, and assisting with minutes and transcription.

Qualifications

  • High school diploma or equivalent is required.
  • 3 years of secretarial experience in a healthcare setting is required.
  • Typing 45–55 words per minute is required.
  • Ability to operate a computer terminal and Microsoft Office programs.
  • Medical terminology is preferred.
  • Ability to communicate clearly, concisely, and accurately.
  • Ability to organize and manage multiple priorities in a dynamic environment.

Responsibilities

  • Coordinate scheduling of meetings and appointments.
  • Serve as liaison between Administrative Team, staff, physicians, department directors, and customers.
  • Track workflows, schedules, and projects to ensure timely completion and follow-up.
  • Use sound judgment for issues beyond authority and report to appropriate representatives.
  • Maintain confidentiality of patient, hospital, and staff information.
  • Handle calls from patients and families and triage or refer as needed.
  • File and maintain records for executives.
  • Assist with preparation and distribution of materials and minutes.
