Job Overview

UCSF School of Dentistry Education Programs Administrator oversees and manages the admissions process for the DDS/PhD program, the Cell and Tissue Biology PhD program, and the Research Fellowship Program. The Administrator serves as the primary point of contact for applicants, guiding them through application requirements, deadlines, interviews, and onboarding. Responsibilities also include reviewing application materials for completeness, scheduling interviews and assessments, maintaining accurate applicant records, and collaborating with faculty, admissions committees, and administrative staff to ensure a smooth and efficient admissions workflow. The role additionally supports the Oral and Craniofacial Sciences PhD and DDS/PhD programs with direct educational administrative support, student advising, and related functions.

Responsibilities
  • Oversee and manage the admissions process for all graduate and fellowship programs.
  • Act as the primary point of contact for applicants, answering inquiries regarding admissions requirements, deadlines, and program details.
  • Review application materials for completeness and schedule interviews and assessments.
  • Maintain accurate applicant and learner records, including assessment data and progress documentation.
  • Collaborate with faculty, admissions committees, and administrative staff to ensure compliance with policies and efficient workflow.
  • Plan academic curriculum in partnership with program directors, deans, and faculty to ensure students progress through course sequences and meet institutional standards.
  • Evaluate interactions between students and instructors to recommend curriculum and program improvements.
  • Manage program files and data, including accreditation documentation and reports, ensuring accuracy and completeness.
  • Monitor learner files and program documentation to maintain compliance with evolving standards.
  • Identify barriers to student success, provide referrals, and advocate on behalf of students when necessary.
  • Serve as a liaison between programs, departments, faculty, learners, and campus stakeholders, participating in committees and working groups.
  • Plan logistics, budgets, and evaluations for program social and educational events such as interview days, orientations, and conferences.
  • Develop and maintain program communication resources, including website updates, brochures, syllabi, and email lists.
  • Analyze educational technology user experience, support platforms such as Canvas, troubleshoot workflows, and identify improvements.
  • Lead educational projects, coordinate cross‑functional initiatives, and manage timelines and deliverables.
Required Qualifications
  • Bachelor’s degree in a related area and/or equivalent experience or training.
  • Three or more years of related work experience.
  • Thorough knowledge of relevant policies and regulatory requirements, including health professions education program requirements.
  • Proven ability to develop and implement processes and systems.
  • Excellent oral and written communication skills, including active listening and critical thinking.
  • Strong interpersonal skills and the ability to work productively with individuals from diverse backgrounds.
  • Exceptional organizational skills, analytical ability, and attention to detail, with the capacity to meet established deadlines.
  • Knowledge of educational software and platforms, and the ability to analyze and improve user experience.
  • Experience in data management and documentation for investigating and presenting findings about programs, including statistical analysis across databases and systems.
Preferred Qualifications
  • Master’s degree in a related area preferred.
  • Prior experience in dental or medical program administration.
