Job summary

Westbrook Health Services, Inc. seeks a detail‑oriented Records Specialist to manage medical records and ensure HIPAA compliance within the EHR system.

You will handle disclosures, documentation, and customer service for staff and clients in a collaborative environment. Requirements include a High School diploma or GED (Associate degree preferred) and 3+ years in medical records or health information management.

Qualifications

• Must communicate clearly and accurately with a variety of individuals.
• Knowledge of HIPAA, 42 CFR Part 2, and electronic health record systems preferred.
• Works well in a team environment.
• Ability to utilize Microsoft Suite and standard office technology.
• Adapt to changing priorities and workflows in a healthcare setting.
• Maintain professional and ethical conduct with staff, clients, and external stakeholders.
• Pass Criminal Investigation Background, DoHS checks, and post-offer drug screen.

Responsibilities

• Monitor client health records to ensure compliance with state, federal, and DoHS rules.
• Use the EHR system to establish and maintain client health records.
• Process authorizations for release of information.
• Maintain disclosure tracking logs per HIPAA and 42 CFR Part 2.
• Coordinate record requests from clients, attorneys, providers, payors, auditors, and regulators.
• Maintain records per retention and destruction policies.
• Scan, upload, index, and organize documents in the EHR.
• Provide customer service to staff and clients regarding access to records.
