Responsibilities

  • Monitors client health records for compliance with state, federal, and DoHS rules.
  • Uses the EHR system to establish and maintain client health records.
  • Reviews and processes authorizations for release of information.
  • Maintains disclosure tracking logs per HIPAA and 42 CFR Part 2 requirements.
  • Coordinates record requests from clients, attorneys, external providers, payors, and regulators.
  • Maintains records per retention and destruction policies.
  • Scans, uploads, indexes, and organizes documents in the EHR.
  • Ensures documentation is filed and retrievable.

Qualification Requirements

  • Must be able to utilize Microsoft Suite (Word, Outlook, Excel), Adobe Acrobat Reader, and standard office technology (printers, faxes, scanners, etc.).
  • Ability to remain flexible and adapt to changing priorities, workflows, assignments, and operational needs.
  • Must work with staff, clients, and external stakeholders in a professional, cooperative, ethical, respectful, and effective manner.
  • Must pass Criminal Investigation Background and DoHS background checks as well as post offer drug screen.
Education and/or Experience

High School Diploma or GED required. Associate degree in Health Information Management, Business Administration, or related field preferred. Three years of experience in medical records, health information management, or behavioral healthcare preferred.

Physical Requirements

The physical demands described are representative of those required to perform the essential functions of this position. The employee must be able to sit or stand for extended periods; frequently use a computer, keyboard, telephone, and other standard office equipment; and occasionally walk, bend, reach, stoop, and lift or carry up to 10 pounds. Regular verbal and written communication and the ability to view and enter information into computer systems are also required.

Essential Duties and Responsibilities

Include the following. Other duties may be assigned to meet agency needs.

  • Monitors all client health records to ensure compliance with state, federal, and DoHS rules and regulations
  • Uses the electronic health record (EHR) system to establish and maintain client health records.
  • Reviews and processes authorizations for release of information.
  • Maintains disclosure tracking logs in accordance with HIPAA and 42 CFR Part 2 requirements.
  • Coordinates record requests from clients, attorneys, external providers, payors, auditors, and regulatory entities . In addition, assists with responses to subpoenas, court orders, audits, accreditation reviews, and regulatory requests under supervisor direction.
  • Maintains records in accordance with agency record retention and destruction policies.
  • Assists with archival and purging processes in compliance with applicable regulations.
  • Scans, uploads, indexes, and organize documents within the electronic health record.
  • Ensures documentation is accurately filed and readily retrievable.
  • As keeper of the health records, provides client information and complies with HIPAA regulations and regulations of 42 CFR Part 2.
  • Provides customer service to clients with questions about accessing their health records, either through the medical records department or external vendor.
  • Provides customer service to staff with assistance and direction on releasing client information. Provides training and technical assistance to staff regarding documentation standards, record management practices, and confidentiality requirements.
  • Uses the Quality Assurance ticket system to process medical record requests.
  • Complies with federal, state, and company policies, procedures, and regulations.
  • Maintains confidentiality of all information and complies with HIPAA regulations.
  • Demonstrates knowledge of and supports Westbrook Health Services mission, vision, values, policies and procedures, operating instructions, confidentiality standards, and code of ethical behavior.
  • Other duties may be assigned to meet business requirements.
