Job summary

Bear Valley Mountain Resort Llc is seeking a Sales & Marketing Coordinator to drive group sales, coordinate weddings and events, and support resort marketing initiatives. This in-person role serves as the primary contact for group bookings and event clients, ensuring top-notch service from inquiry to execution.

You will assist with social media and campaigns to boost visitation and revenue. This is a year-round, full-time in-person position at Bear Valley.

Qualifications

• Prior marketing and event experience, Hospitality preferred.
• Prior experience in Events and Wedding planning, coordination, etc. is required.
• General ski and snow industry knowledge. Knowledgeable of the winter sports area terrain and facilities.
• Ability to ski or ride at an intermediate or higher level.
• Willingness to work flexible schedules
• Possess high level of multi-tasking, prioritizing, organizing, detail attention and follow through abilities.
• Strong communication skills, both verbal and non-verbal.
• Ability to use and learn Microsoft Office, Canva and Adobe Design Suite software.
• Ability to consistently deliver excellent customer service.
• Requires the skills of a host. This involves approaching guests/groups in a courteous manner, inquiring if they have any questions and being able to respond professionally.

Responsibilities

• Coordinate and schedule group visits, ensuring timely communication with involved departments.
• Proactively acquire new group sales through cold calling, email, marketing, and relationship building.
• Provide weekly updates to department managers on forecasted group business and project updates.
• Correspond with group leaders, providing relevant sales products and information.
• Act as the onsite point person to welcome and organize groups for their mountain activities.
• Manage group invoices and payments, liaising with accounting for timely processing.
• Process all sales transactions in-person, via phone/email, and web sales retrieval for groups and weddings.
• Respond promptly to guest inquiries and ensure excellent customer service.
• Collaborate with the Calipass Marketing Director and marketing team to support resort marketing campaigns, promotions, and brand initiatives.
• Assist with planning and executing the social media calendar.
• Assist with creation and posting of content across social media platforms, while responding to guest messages (inc. email inbox), comments, and reviews.
• Support the development and distribution of marketing materials, advertising, email campaigns, and promotional content.
• Assist with website updates and ensure online information remains accurate and current.
• Coordinate and oversee all aspects of weddings, private events, group functions, and resort-hosted events from initial inquiry through event completion.
• Prepare and manage event contracts, deposits, banquet event orders (BEOs), waivers, and related documentation.
• Source, coordinate, and communicate with vendors and service providers to ensure successful event execution.
• Develop and monitor event timelines, ensuring all deadlines, and client expectations are met.
• Manage event budgets, track expenses, and support revenue and profitability goals.
• Coordinate and schedule BEO meetings with the Food & Beverage Department and other operational teams.
• Serve as the primary point of contact for clients, vendors, department managers, and event stakeholders.
• Collaborate with Food & Beverage teams on menu planning, service requirements, and event logistics.
• Recruiting, schedule and training event staff as needed.
• Maintain event records, databases, social media platforms, and wedding/event website content.
• Support event sales and marketing initiatives, including participation in wedding expos, trade shows, and community events.
• Assist in the development and distribution of event marketing materials, promotional campaigns, email communications, and digital content.
• Conduct site tours and consultations with prospective clients to promote event and wedding services.
• Ensure exceptional guest and client experiences by proactively addressing event needs and resolving issues in a professional and timely manner.
