Job summary

Avion is seeking a detail-oriented Group Reservations Coordinator to join a dynamic team in New Orleans. You will coordinate with Sales, Marketing, Accounting, and Conference Services to ensure accurate bookings and exceptional service while maximizing occupancy and revenue.

Qualifications

• High school diploma or GED preferred.
• 6 months of reservations experience in hospitality or related customer service.
• Strong organizational skills with ability to manage multiple bookings.
• Excellent communication and interpersonal skills.
• Knowledge of Outlook, MS Word and Excel.
• Experience with Delphi and SMS group sales systems.
• Occasional evening and weekend work to meet deadlines.
• Capable of using multiple systems simultaneously.
• Self-starter, results-oriented, team player, high attention to detail.
• Flexible and adaptable to a dynamic environment.
• Ability to collaborate across departments and with clients.

Responsibilities

• Collaborate closely with Sales & Marketing, Accounting, Conference Services, and Group Meeting Planners to facilitate smooth reservation processes.
• Create, update, and maintain group room blocks, booking links, and reservations to meet client needs.
• Ensure clients are provided with the appropriate room types, facilities, and services as per their requirements.
• Handle all reservations in a friendly, professional, and efficient manner, providing excellent customer service.
• Quote and negotiate rates to maximize room revenue and average daily rate in accordance with Avion standards.
• Monitor and manage group inventory and rates to optimize hotel occupancy and profitability.
• Maintain accurate records of reservations, client preferences, and special requests.
• Assist in resolving any booking discrepancies or issues promptly and effectively.
• Support the sales team with reporting and analysis related to group bookings and occupancy trends.
