Grants Management Specialist

Cape Fox Facilities Services is seeking a Grants Management Specialist to provide support of the National Institute of Health.

Pay: $40–$50 per hour, up to 40 hours per week. Benefits include specified holidays, paid leave, health, dental, vision, life and disability insurance, tuition reimbursement, and 401K with company match.

This position is exempt. The posting will remain open until filled or withdrawn.

Responsibilities
  • Provide technical assistance developing and analyzing the organization’s grant program, including reviewing annual grant progress reports and new grants for conformity to Institute policy, compliance with federal regulations, and consistency with SOP.
  • Assist with reviewing grant applications and preparing responses:
    • Review and evaluate for accuracy and completeness of competing and non‑competing grant applications.
    • Assess policy and regulatory compliance, report issues.
    • Draft correspondence to address administrative or management issues related to grant applications.
    • Advise applicants and grantees on financial and management issues relevant to their applications and perform corrections.
    • Initiate correspondence to grantee institutions regarding grant‑related questions, clarification of policy and procedures, or requests for additional information.
  • Analyze and prepare reports to track status of awards and funding:
    • Review, revise, and prepare budget spreadsheets in Excel to reflect current funding levels, perform data analysis and prepare reports based on data.
    • Conduct administrative and financial review of grant applications.
    • Coordinate simple funding actions that begin the grants/agreements awards process.
    • Prepare budgets for award in spreadsheet workbook, analyzing requested amounts based on allowability, allocability, and reasonableness.
  • Create and maintain a database for grant activities:
    • Maintain official grant files, prepare electronic documents and upload images directly into the appropriate IMPAC II eGrants file groups.
  • Perform queries, conduct analysis and produce reports:
    • Prepare budgets for award in spreadsheet workbook, analyzing requested amounts based on allowability, allocability, and reasonableness.
  • Provide support and routine updates to staff:
    • Inform staff of issues that could cause grant awards to be delayed.
    • Communicate with appropriate Program Officer and Grantee Sponsored Research Administrator when questions arise.
    • Collaborate with staff to use guidelines and policies for specific situations utilizing NIA, NIH and HHS grants administration sources.
    • Highlight areas needing additional policies or procedures and contribute comments and suggestions on new policies, revisions, justifications for changes.
    • Provide advice to program staff, applicants and grantees on administrative and business management issues.
  • Identify grants ready for final processing:
    • Work with staff on pre‑ and post‑award activities, including preparation of grant awards, work products and documents related to awarding grant awards; approved pay plans for awarding grants.
    • Collect and assemble documentation on grant applications that have been selected for funding for review and approval.
  • Review and assemble completed documentation and identify pending issues or changes:
    • Resolve grant‑related issues, working with scientific and administrative personnel and similar staff of grantee organizations.
  • Develop procedures for the grant review and approval process:
    • Revise terms appropriate to reflect budget adjustments and policy concerns.

Job Requirements
  • All support positions require a minimum of a B.A. or B.S. degree.
  • The education, skills and relevant years of experience required for each support position are consistent with those identified as the minimum requirements for the labor categories specified in the contract.
  • This position is for one full‑time equivalent employee, 1920 hours each (excluding federal holidays).
  • Work will be performed up to 40 hours per week during normal business hours, Monday–Friday, excluding federal holidays; flexibility for occasional work outside business hours may be required.
  • Employee will be responsible for scheduling.
