The Division of General Internal Medicine is the largest division in the Department of Medicine, including both clinical and research functions with a total annual budget of over $60 million. There are over 360 faculty, with over 40 involved in research, 85 staff, 125 current grants, contracts, and gift budgets, and annual research expenses of $12 million. Faculty and staff are spread over 10+ sites.

Opportunity: Grants and Contracts Manager/Specialist

This full-time position manages grants and contracts for the Division of General Internal Medicine, including pre- and post-award activities. The role involves working directly with award sponsors, scientific collaborators, and University offices, representing the Division. Responsibilities include establishing policies, ensuring adherence, coordinating activities across research units, reviewing proposals, and ensuring compliance and timely reporting.

Duties and Responsibilities
Research Administration - Pre-Award Operations (40%)
  • Manage research portfolios and new proposal production.
  • Manage research and training awards, operationalize grants, and meet specific aims.
  • Ensure timely fulfillment of grant commitments and contract agreements.
  • Promote compliance and risk management, develop quality improvements.
  • Assess research viability, resource needs, and track efforts.
  • Identify and resolve space and IT requirements.
  • Interpret and apply institutional, federal, and sponsor guidelines.
  • Provide counsel and mentorship to researchers and staff.
  • Assist with budget development and act as liaison with sponsors and administrators.
  • Review proposals for accuracy and compliance.
  • Coordinate proposal submissions, award processing, and reporting.
  • Develop reports and analyses to support strategic planning.
  • Manage policies, procedures, and internal controls.
  • Identify system gaps and propose improvements.
  • Consult on recruitment goals and staffing based on funding.
  • Support research program initiatives and provide technical guidance.
Research Administration - Post-Award Operations (30%)
  • Ensure fulfillment of grant commitments and compliance.
  • Approve expenditures, produce reports, and ensure compliance.
  • Develop tools to track and analyze process improvements.
  • Manage post-award activities including budget reviews, financial reporting, and troubleshooting.
  • Coordinate with research administration staff for effort allocation and funding analysis.
  • Design financial analysis reports and forecasts.
Research Administration - Post-Award Contracts (30%)
  • Review documents related to research funding.
  • Conduct data analyses and develop strategic planning documents.
  • Collaborate on budget variations and support queries related to budgets and performance.
Minimum Requirements
  • Bachelor's Degree in Accounting/Finance and 3-4 years of experience.
  • Equivalent education/experience may substitute for minimum qualifications.
Additional Requirements
  • Problem-solving, initiative, prioritization, and professionalism in a fast-paced environment.
  • Excellent communication and interpersonal skills.
  • Strong organizational and time management skills.
  • Proficiency in MS Office.
Desired Qualifications
  • Master's Degree in accounting/finance.
  • Knowledge of federal requirements and UW standards.
  • 5+ years' experience in a research or clinical department.
  • Experience in higher education administration.
