Job summary

Community Foundation of Broward is seeking a Grants Administration Manager to oversee the GLM grants database, support nonprofits, and drive data-driven decision making across Community Impact. The role emphasizes relationship building, workshop leadership, and stakeholder coordination within a dynamic nonprofit environment.

Qualifications

  • 3+ years of experience in database support, program administration, or operations with grants database experience preferred.
  • Ability to build trusted relationships with diverse sectors of the community.
  • Baseline knowledge of nonprofits; IRS rules, governance, organizational structure and program development.
  • Strong and effective communication skills with experience in public speaking.

  • Provide pre-application and technical assistance to nonprofits preparing grant proposals and host office hours.
  • Manage the post-award process including updating profile records, booking grants, setting up reports, and generating grant agreements.
  • Conduct due diligence to determine grant eligibility and award qualification.
  • Organize and present at workshops for nonprofits (RFP sessions, Power Builders, PR & Reporting).
  • Run monthly spend reports and assist Directors with funding allocations for approved projects.
  • Assist with annual Agency Endowed and Designated distributions and due diligence checks.

Job description

The Grants Administration Manager (GAM) is a dynamic position within the Community Impact department of the Community Foundation of Broward. The position maintains the grants management system (GLM), and manages all database aspects of the grants process and ensures that grant operations are smooth, effective, and timely. This position will have an administrative hand in all aspects of grantmaking. The GAM will manage a portfolio of special interest grants and scholarships, provide continuous improvement to our grantmaking processes, and deliver exceptional customer service. The GAM is a knowledge source on grant data and information and provides support to the Community Impact Directors, nonprofit organizations, internal and external stakeholders, and works with colleagues across multiple departments.

Reporting Structure

Reports to: Director of Community Impact

Primary Duties and Responsibilities
1)Grants Database Administration

a.Manage all aspects of the online application database (GLM), including building applications, reporting, payment, and other forms needed.

b.Provide pre-application and technical assistance to nonprofits preparing grant proposals, disseminating RFP, application materials, manage and host office hours, etc.

c.Manage the post award process including but is not limited to updating profile records, booking grants in GLM and C‑Suite, setting up reports/follow‑ups, and generating grant agreements.

d.Conduct due diligence to determine grant eligibility and award qualification.

e.Manage nonprofit organizations records and grants records in C‑Suite and GLM.

f.Organize and present at workshops for nonprofits (RFP session, Power Builders, PR & Reporting, etc.)

g.Run monthly available to spend reports for unrestricted and field of interest funds and assist Directors with funding allocations for approved projects.

h.Assist Lead with the annual Agency Endowed and Designated distribution, conduct periodic (every other year) due diligence checks on organizations to ensure their good standing with the IRS, and update C‑Suite records as needed.

i.Establish, build, and maintain relationships with nonprofits and convene them when required.

2)Reporting & Data Management Systems

a.Serve as a department grants data system platform go‑to resource and information manager on the GLM database.

b.Ensure reports are available to grantees and submitted timely.

c.Run data reports on all grants.

d.Conduct research as needed to assist with community impact issues.

e.Produce collateral for Community Impact dept., staff, committees and board communication on grants, programs, etc. and assist with meeting preparation.

3)Grants Coordination

a.Scholarship coordination for annual awards. Prepare and distribute scholarship applications and work with partner organizations. Vet applications and oversee the review process. Manage data entry or applications, award and decline letters.

b.Field of Interest Fund Coordination. Run RFP process and/or identity organizations for a minimum of 6 unique field of interest funds, including animal welfare, Thanksgiving dinners, and Turner/France, and ensure quality control of donor intent on the grants.

4)Community Involvement

a.Be actively involved in the community, which includes attending meetings, site visits, conferences, etc., to advance the work of the CFB.

5)Perform other duties as assigned
Position Requirements/Core Competencies

This position requires a goal‑oriented, organized, and results‑driven individual who is a self‑starter and has proven effective project and time management skills.The ideal candidate is passionate about working with databases and good with problem‑solving, has excellent written and verbal skills, and is a knowledge seeker. Experience working with managing databases in a complex organization, on a team environment is essential.

  • Minimum of 3 years of consistent high‑level relative work experience in database support, program administration, or operations; data collection, measurement and evaluation. Strongly preferred candidate will have grants database administration, grantmaking, grants management or grant compliance experience.
  • Ability to build solid trusted relationships with various and diverse sectors of a community.
  • Baseline knowledge and understanding of nonprofits; IRS rules, governance organizational structure and program development..
  • Strong and effective communication skills. with experience in public speaking

Job Type: Full‑time
Salary Range:

$67,000.00 - $98,000.00 per year
