Position Summary::

The Grant Manager provides professional-level post-award administration, compliance monitoring, reporting coordination, and operational support for sponsored programs. This position serves as the primary coordinator for day-to-day post award grant management activities for assigned grants and works collaboratively with project directors, finance staff, and institutional leadership to ensure sponsored programs are administered in accordance with award requirements, institutional policies, and applicable regulations.
This position reports to the Director of Grants and performs assigned post-award administration and compliance monitoring duties under the direction of the Grants Director. The Grant Manager supports the successful implementation of externally funded projects by coordinating award setup, monitoring compliance obligations, facilitating reporting processes, tracking financial activity, and providing training and technical assistance to project personnel. Through effective grant administration, this role helps maximize the impact of sponsored funding while reducing organizational risk and ensuring stewardship of grant resources.

Required Education/Experience::
  • Bachelor’s degree in Business Administration, Public Administration, Accounting, Finance, Nonprofit Management, Higher Education Administration, or a related field required.
  • Five years of progressively responsible experience in grant administration, sponsored programs management, compliance, financial administration, or a related area.
  • Experience managing federal, state, local, or private foundation grants.
  • Equivalent combination of education and relevant professional experience may be considered.
Preferred Education/Experience/Skills::
  • Experience in higher education, nonprofit, government, or grant-funded environments.
  • Knowledge of federal grant regulations, compliance requirements, and reporting standards.
  • Experience working with financial management systems, grants management software, or enterprise reporting systems.

Skills & Competencies

  • Demonstrated knowledge of grant administration, post-award management, and sponsor compliance requirements, with the ability to interpret and apply award terms, regulations, and institutional policies.
  • Strong organizational, analytical, and problem-solving skills with the ability to manage multiple grants, evaluate financial and programmatic data, identify issues, and recommend appropriate solutions.
  • Advanced proficiency in Microsoft Excel, including budget tracking, expenditure analysis, data reconciliation, and reporting; proficiency with Microsoft Word and Outlook required.
  • Excellent written, verbal, and interpersonal communication skills with the ability to effectively collaborate with project personnel, institutional stakeholders, finance staff, and external sponsors.
  • Ability to provide guidance and technical assistance related to grant administration, compliance, reporting, and financial management requirements.
  • Demonstrated attention to detail, sound professional judgment, and a commitment to maintaining accurate documentation, confidentiality, and stewardship of grant resources.
  • Ability to work independently, manage competing priorities, and contribute effectively within a collaborative team environment.

Duty and Responsibility::

Post-Award Administration

  • Coordinate grant setup activities and administrative controls to support effective management of sponsored awards.
  • Administer award terms and conditions, ensuring ongoing compliance with sponsor, regulatory, and institutional requirements.
  • Maintain oversight of grant records, documentation, and official award files to ensure accuracy, completeness, and audit readiness.
  • Facilitate grant closeout activities, including the verification of required documentation and completion of sponsor and institutional requirements.
  • Provide technical guidance and support to Project Leads and grant personnel regarding post-award administration, compliance obligations, and grant management practices.
Duty and Responsibility::

Compliance Monitoring

  • Monitor grant compliance requirements and communicate obligations to project personnel and the Grants Director.
  • Conduct periodic grant file reviews to ensure documentation is complete and current.
  • Monitor and record fulfillment of matching and cost-share commitments and ensure documentation supports audit and reporting requirements.
  • Monitor and track participant support costs, equipment purchases, and other restricted budget categories for compliance.
  • Assist with preparation for audits, monitoring visits, and internal reviews.
  • Identify potential compliance concerns and coordinate with the Grants Director to determine corrective actions as needed.
Duty and Responsibility::

Reporting Coordination

  • Oversee sponsor reporting requirements and ensure the timely and accurate submission of all programmatic, financial, and administrative reports.
  • Manage reporting schedules, deliverables, project milestones, and performance measures to ensure compliance with award requirements and achievement of grant objectives.
  • Evaluate performance data and supporting documentation to assess progress, support sponsor reporting, and identify potential risks or gaps.
  • Maintain official grant reporting records and sponsor communications to support accountability, audit readiness, and institutional recordkeeping.
Duty and Responsibility::

Financial Coordination

  • Review expenditures for alignment with approved grant budgets and award requirements.
  • Coordinate with Finance regarding grant expenditures, financial reporting, and budget monitoring.
  • Monitor spending trends and assist project personnel in managing available grant resources.
  • Assist with budget revision requests and sponsor approvals when applicable.
  • Support financial reconciliation activities throughout the grant lifecycle.
  • Communicate potential budget concerns or variances to appropriate stakeholders.
Duty and Responsibility::

Training and Technical Assistance

  • Provide training, guidance, and technical assistance to Project Leads and grant personnel regarding grant administration requirements and best practices.
  • Develop and maintain procedures, templates, and resource materials that support consistent and compliant management of sponsored awards.
  • Assist departments in interpreting sponsor requirements and implementing institutional grant management procedures.
  • Support continuous improvement efforts by identifying opportunities to enhance grant administration processes and operational effectiveness.
