Job summary

The National Audubon Society seeks a Grant Specialist to support the full grant lifecycle across programs, from pre-award to close-out. You will partner with program managers, finance, and leadership to ensure compliant budgets, reporting, and timely funder communications.

This role leverages strong analytical and collaboration skills in a hybrid work model, based near Washington, DC, with monthly in-office requirements and occasional travel as needed.

Qualifications

  • Bachelor's degree and at least 5 years of experience in grant management and administration including budgeting, financial management, reporting and compliance.
  • Knowledge of all phases of grant cycle from pre-award through close-out.
  • Uniform Guidance cost principles applicable to non-profit organizations.
  • Experience with international grants (preferred).
  • Preferred bilingual in English and Spanish.
  • Excellent interpersonal verbal and written communication skills.
  • Ability to demonstrate leadership and work collaboratively across teams.

Responsibilities

  • Collaborate with program and development staff to prepare grant proposals with a focus on budget accuracy.
  • Coordinate with appropriate staff to elevate high dollar or high-risk proposals for review and approval by Executive Team.
  • Utilize and share pre-award resources to project team to streamline proposal process.
  • Ensure any new proposed headcount is reviewed and approved by People and Culture before finalizing the proposed budget.
  • Monitor grant progress and budget alignment; advise on modifications or extensions.
  • Work with project staff on expected time allocations and project coding.
  • Provide monthly grant status reports and analyses to Project Managers/State Directors; resolve issues.
  • Lead collaboration on multistate grants and cross-flyway projects.
  • Utilize internal financial systems to monitor expenditures and work with accounting on corrections.
  • Assist staff in compiling funder reports and ensure compliance with reporting schedules.
  • Coordinate invoicing with state offices and finance teams.
  • Support grant setup and close-out including financial analysis, documentation, and compliance review.
  • Review new grant agreements and processing documents.
  • Facilitate subcontracts and sub-awards monitoring and FFATA as applicable.
  • Ensure all compliance requirements are fulfilled and documented.
  • Maintain grant files and foster internal controls and safety culture.
  • Contribute to improving grant management processes.
