Job summary

The American Academy of Pediatrics is seeking a Program Assistant (Grant Funded) to support youth engagement activities for the Center of Excellence on Social Media and Youth Mental Health. This role involves coordinating meetings, engaging with youth ages 14-18, and handling logistics for recruitment, travel, and expenses.

Ideal candidates have a Bachelor’s degree and at least one year of administrative experience; proficiency in MS Office, SharePoint, and Teams is preferred.

Qualifications

  • Bachelor’s degree in the specified fields or an equivalent combination of education and work experience.
  • At least one year of administrative or customer service support experience, including meeting/activities planning and expense processing.
  • Experience with online shared documents and youth health initiatives is desirable.

Responsibilities

  • Coordinate virtual and in-person Youth Advisory Panel (YAP) meetings and youth events, including logistics and minutes.
  • Engage with youth advisors (ages 14-18) in an age-appropriate, inclusive manner.
  • Provide administrative support for YAP recruitment, onboarding, and offboarding.
  • Process YAP check requests and invoices and monitor budgets.
  • Maintain and organize SharePoint and Teams files for internal/external sharing.
  • Maintain up-to-date rosters for the YAP.
  • Assist with preparing educational materials and resources to expand youth engagement.
  • Coordinate requests for youth speakers and presentations, including scheduling and travel logistics.
  • Maintain youth engagement contact lists and respond to inquiries.
  • Draft and share correspondence with subject matter experts and community partners.
  • Compile data for reports, statistics, and presentations.
  • Assist with grant reports and applications as needed.
