Coordinate sponsored program administrative functions for aSchool/College/Division or other unit1 . This includes fiscal andadministrative review of sponsored grant and contract proposals;review and processing of agreements; and the management andprocessing of financial transactions. Position duties requireknowledge of and experience in University accounting and budgetingand sponsored project administration.
Coordinate both the pre and post award aspects of the sponsoredproject administration process for for a School/College/Division orother unit1 to ensure compliance with University, sponsor and otherapplicable policies, procedures, rules and regulations.
Assist faculty in identifying funding opportunities and inpreparing proposals to promote research and other sponsored grantactivity. Review proposal budgets and narratives for compliancewith University, sponsor and other applicable requirements; submitproposals to Sponsored Program Administration (SPA) to obtainrequired approvals;
Review awarded grants and contracts in collaboration with SPA forfiscal and contractual content; review accompanying budgets forvariance from proposal and to ensure funds are establishedappropriately in the University accounting system. Monitorexpenditures to ensure compliance with University, sponsor andother applicable policies, procedures, rules and regulations;Assist faculty with budget transfers and project period extensionrequests; Monitor monthly payroll lists and authorize new accountsor payroll extensions; Review and coordinate close-out documentsfor sponsored projects.
Serve as a resource to faculty and other staff within the unit byproviding information and guidance on appropriate use of sponsoredproject funds. Serve as a primary liaison between principalinvestigators and SPA to identify and resolve problems as well asanswer inquiries regarding University or funding agency guidelines,policies and procedures.
Provide direct management over research funding;
Develop and maintain databases for unit specific informationutilizing University information systems. Perform financialanalysis and prepare reports for School, College, Division orDepartment and central University administration on sponsoredproposal, award, and expenditure activity. Update and maintainreference material on research funding sources.
Supervise non-exempt clerical and accounting support staffincluding assignment of duties, training in policies and proceduresand monitoring performance.
Perform other related work as assigned.
This classification requires experience in both pre and post awardadministration of sponsored grants and contracts. Work activitiesrequire knowledge and accurate application of University accountingand budgeting and sponsored project administration policies,procedures and practices. Incumbents are expected to provideguidance to faculty and staff within the unit in the application ofthese policies, procedures and practices. Supervision may beprovided over non-exempt support staff. This position is located ina School, College, Division or Department grants administrationarea and reports to and receives assignments from a managementlevel classification.
Bachelor’s degree from an accredited college or university inBusiness or Public Administration or related field and reasonableexperience in grant and contract administration; or a Bachelor’sdegree from an accredited college or university in any field andconsiderable experience in grant and contract administration.
Reasonable accounting experience with preference for sponsoredproject budgeting and accounting.
Reasonable experience in proposal preparation for both federal andother sponsored funding sources.
Reasonable experience in use of University information systems(e.g. Banner) and software used to track, analyze and present data(e.g. spreadsheets, charts, graphs).
Demonstrated ability to analyze data and develop appropriatereports and other presentations.
Some supervisory experience.
Demonstrated ability to independently manage a variety of projectswhile ensuring appropriate tracking, quality control, follow-up andmultiple deadlines are met.
Reasonable knowledge and understanding of implementing businessprocess improvements.
Incumbents will typically have previous University experience as aBudget Analyst, Accountant or Administrative Assistant in a unitwith significant sponsored project activity.
