Ideal candidates have proven contract administration experience, especially with government contracting, strong organizational and negotiation skills, and proficiency in contract management software and Microsoft Office.

Qualifications

  • Proven experience in contract administration, particularly in government contracting.
  • Strong understanding of contract law, regulations, and compliance requirements.
  • Excellent organizational, communication, and negotiation skills.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Proficiency in contract management software and Microsoft Office Suite (esp. Microsoft Excel)
  • Ability to correctly and responsibly handle, organize, and secure confidential information
  • Frequent standing/walking and filing in an office environment.
  • Able to lift up to 25 lbs unaided.

Responsibilities

  • Contract Analysis and Compliance: Analyze contract requirements, special provisions, terms, and conditions to ensure compliance with applicable laws, regulations, corporate policies, and business unit procedures.
  • Maintain a strong understanding of contract policies and practices in day-to-day operations.
  • Contract Review and Execution: Ensure timely review, approval, and execution of contracts from the estimating department in alignment with corporate and business unit guidelines.
  • Prepare and administer routine correspondence, negotiation memoranda, and contract documentation.
  • Contract Administration: Perform contract setup, administration, and closeout activities, including data entry and paperwork management.
  • Assist in the contract change control process, coordinating with Accounting, Operations, Legal, and other departments as needed.
  • Administer and manage subcontract awards, vendor/supplier agreements, and modifications.
  • Research and Documentation: Conduct research to support contract audits and contracting trends.
  • Government Contracting: Pre- and post-award administration, including correspondence, documentation, evaluation, and reporting.
  • Subcontractor Management: Coordinate with the Project Manager to administer, invoice, close out contracts, process invoices, accruals.
  • Invoicing and Reporting: Prepare and submit invoices, process invoices via Tungsten, manage contract-related financials, track rental equipment usage.
