Job summary

Madison County is seeking an Account Clerk - Accounts Payable, Auditor to maintain and organize vendor invoices, process payments, and ensure accurate posting to the general ledger. The role supports departments in matching invoices with approved resolutions and grant funds, while maintaining meticulous records and timely communication on payment status.

The position requires a high school diploma or equivalent and at least one year of related experience, with bookkeeping experience preferred.

Qualifications

• Some bookkeeping/accounting experience preferred.
• Ability to handle vendor invoices and general ledger documents.

Responsibilities

• Maintain vendor invoice files (paper and electronic).
• Process and review invoices for payments.
• Enter invoice details into batches (invoice number, date, description, amount, GL account, 1099 as needed).
• File, scan, and digitize general ledger documents as needed.
• Track invoices from Community Development to ensure payments within approved resolutions and grant amounts.
• Monitor approved vendors per resolutions to ensure compliance.
• Communicate with departments regarding discrepancies before check issuance.
• Compare current vs ageing reports to determine paid invoices.
• Provide proof of payments and follow up on missing check images.
