Job summary

UPMC is seeking a Medical Education Program Department Manager to support Graduate Medical Education. Based at UPMC Shadyside with the GME Office in Forbes Tower, the role collaborates with physicians, trainees, and leadership to run program operations.

The position emphasizes accreditation documentation, trainee evaluations, and coordination of meetings and events, including recruitment activities in a largely virtual environment.

Qualifications

• High School diploma or equivalent with 2 years of administrative experience, or equivalent bachelor's degree.
• Licensure, Certifications, and Clearances: Act 34.

Responsibilities

• Utilize Residency Management system (Med Hub) to enter rotation schedules, document PTO/LOAs, and monitor work hour submissions.
• Prepare and maintain documentation for program accreditation requirements (ACGME, ASHP, CODA, CPME) and annual updates.
• Coordinate and maintain documentation for APOR and other site visits from accrediting bodies; support requested documents.
• Monitor trainee, rotation, faculty, and program evaluations; ensure timely evaluations after rotations and at 90-day intervals for longer periods.
• Coordinate PEC and CCC meetings: schedule, agenda, materials, evaluation analytics, and minutes.
• Develop and maintain recruitment resources (brochures, presentations, websites, social media) to support recruitment in a virtual landscape.
• Build productive relationships between trainees, program directors, hospital administration, UPMC ME central team and other departments; participate in ME sponsored meetings.
• Manage live/virtual meetings, conferences, lectures, recruitment, orientation and program celebrations; prepare and distribute materials.
