Memorial Health is seeking a dedicated coordinator to support Southern IL University School of Medicine’s graduate medical education program and act as Memorial Medical Center’s liaison with resident physicians.

Qualifications

  • Associate’s degree required; high school diploma with 2–3 years residency coordination experience may be considered in lieu of degree.
  • Two to three years of residency coordination experience required.
  • Minimum typing speed of 60 wpm; knowledge of Graduate Medical Education required; knowledge of medical terminology.

Responsibilities

  • Serves as MMC contact for program directors and residents of the GME program.
  • Coordinates the MMC portion of the annual resident orientation and prepares for orientation with HR.
  • Maintains resident files, credentialing, contract information, etc.
  • Maintains relationships with the Office of Residency Affairs at SIU School of Medicine.
  • Supports residents with day-to-day needs (pagers, call rooms, call schedules).
  • Organizes travel arrangements and maintains schedules for Vice President and Administrator of Clinical Integration.

Qualifications
Education

Associate’s degree in business or related field required. A high school diploma coupled with two to three years experience in residency coordination or similar experience may be considered in lieu of degree.

Experience
  • Two to three years experience in residency coordination or equivalent is required.
  • A minimum of five years executive secretarial experience required.
  • Word processing/computer skills required. (Minimum typing speed of 60 wpm.)
  • Knowledge of the Essentials of Graduate Medical Education required.
  • Knowledge of medical terminology required.
  • Excellent verbal and communication skills are required.
  • Proven team player.
Responsibilities
Principal Duties & Responsibilities
  • Serves as the primary MMC contact for program directors and residents of the Graduate Medical Education program through SIU School of Medicine.
  • Develops the procedures and mechanisms to support the Residency Program, including coordinating the MMC portion of the annual resident orientation (i.e. training, coordinating speakers, etc.). Works with Human Resources on preparation for orientation, such as ensuring residents are clear to start, obtaining benefits packages, etc.
  • Maintains resident files, credentialing, contract information, etc.
  • Maintains a collegial working relationship with the Office of Residency Affairs at SIU School of Medicine.

  • Collects and interprets resident survey feedback. Shares feedback with leaders and makes recommendations on how to address/resolve any issues noted.
  • Provides support to residents (i.e. distribution of pagers, assistance with call rooms, providing call schedules to units, etc.) on a day-to day basis.
  • Responsible for the organization and coordination of work to meet the needs of the Vice President, Clinical Integration and Administrator, Clinical Integration and Care Coordination. This includes:
  • Maintenance of schedules.
  • Organizing travel arrangements.
  • Answering telephone inquiries, providing answers to routine questions, obtaining information and directing calls to the appropriate individual or department.
  • Greeting visitors, ascertaining nature of their business and directing them appropriately.
  • Composing or transcribing correspondence and reports as directed.
  • Maintaining a filing system of correspondence and other documents.
  • Screening and distributing incoming mail as appropriate..
  • Provide support to the Medical Staff Office to ensure effective coordination of medical staff department/committee meetings (i.e., meeting agenda/material, notices, and minutes) as assigned.
  • Responsible for the transcription of medical staff documents as directed.
  • Responsible for the maintenance and distribution of departmental call schedules as directed by the applicable Medical Staff Department Chairs.
  • Maintain proficiency in the use and understanding of Microsoft office programs to ensure efficient operation in support of the administrative team.
  • Maintain strict confidentiality concerning all correspondence and job related activities.
  • Maintain a commitment to the MHS mission, vision, values, goals and behavioral standards.
  • Other duties as assigned.
