Job summary

OpenAI is seeking a Global Events Systems & Operations Coordinator for a 6-month contract, reporting to the Events Operations Manager in San Francisco. You will maintain trackers, templates, reporting views, and documentation to support a distributed events program.

The role requires coordinating contracts and purchase requests, tracking budgets and invoices, and implementing improvements using Airtable, Zip, Planned, and Google Workspace.

Qualifications

• Experience in events operations or related coordination roles.
• Ability to maintain trackers, templates, and documentation across multiple projects.
• Strong spreadsheet skills and attention to detail for reconciliation.
• Experience coordinating purchase requests, invoices, and budgets with approvals workflows.
• Clear written and verbal communication, cross-functional collaboration.

Responsibilities

• Maintain Events trackers, templates, reporting views and workflow guidance in Airtable, Zip, Planned and Google Workspace.
• Coordinate contract and purchase requests with Procurement and Legal; verify invoices for completeness and consistency.
• Track budgets, commitments, invoices and payment status with Event Managers, Finance and Accounts Payable; flag discrepancies and assist reconciliation.
• Coordinate vendor onboarding and cross-functional handoffs, keeping owners, deadlines and next steps clear.
• Follow through on outstanding actions, provide concise Slack updates, escalate blockers to the Events Operations Manager.
• Implement workflow improvements using AI tools while protecting accuracy and confidentiality.
