Qualifications

• Bachelor’s degree with 5+ years as a professional meeting planner or closely related field (preferably financial services).
• Effective written and oral communication with senior stakeholders.
• Exceptional organizational and prioritization skills with extreme attention to detail.
• Demonstrates flexibility, multi-tasking and ability to meet tight deadlines.
• Judgment and diplomacy in changing situations; proactive issue resolution.
• Advanced proficiency with Microsoft Office and a Registration Management System.

Responsibilities

• Deliver high-quality client and stakeholder service across levels, including senior executives.
• Apply organizational, analytical, and problem-solving skills to manage multiple tasks and deadlines.
• Create and manage project plans, timelines, budgets, and event specifications.
• Coordinate speaker logistics, briefings, and agendas; manage prep calls and tracking documents.
• Lead invitation and registration processes, test systems, and ensure data accuracy for reporting.
• Oversee contracts, budgets, final accounting, and compliance aspects for events.
• Lead all aspects of event production: venue research, catering, AV, collateral, and shipping.
• Execute on-site event operations, liaising with venues and vendors; travel as needed.
• Utilize Excel, Word, PowerPoint to support event operations.
• Plan and execute industry sponsorships with vendors and conference planners.
