Overview

NPH USA is dedicated to breaking the cycle of poverty in Latin America and the Caribbean by supporting the Nuestros Pequeños Hermanos network of homes for orphaned, abandoned and disadvantaged children. Position Summary

The Gift Processing Specialist is part of the National Operations Team at our headquarters in Chicago, Illinois. The Gift Processing Specialist is responsible for working closely with Donor Relations staff and National Operations teammates to provide engaging and rewarding donor experiences. To accomplish this goal, the Gift Processing Specialist is responsible for providing exceptional customer service to all donors when answering questions over the phone or email, sending digital or written communications, and communicating internally to support the donor\'s needs.

This position requires a detail-oriented and collaborative approach to all duties and responsibilities. The Gift Processing Specialist will be overseen by the Gift Processing Coordinator and Gift Processing Manager. It is expected that the Gift Processing Specialist is a technically proficient, highly organized team player who embodies a clear understanding and passion for NPH USA’s mission, vision, organizational imperatives, values, diversity, equity, and inclusion.

Primary Responsibilities and Duties

Donor Customer Service

  • Manage incoming calls and emails in collaboration with Gift Processing Coordinator
  • Provide accurate, timely responses and follow up internally to resolve inquiries with care and efficiency.
  • Execute donor care enhancement initiatives under the supervision of the Gift Processing Coordinator and Donor Care & Fundraising Events Manager
  • Process all donation formats (sponsorship, general gifts, digital wires, checks, credit cards, ACH) with precision and consistency
  • Accurately record contributions in fundraising database
  • Reconcile daily deposits and fundraising platform transactions, supporting financial integrity and donor confidence

Donor Communications & Database Management

  • Draft, review, and send gift acknowledgments, reminders, and tax letters that reflect donor impact
  • Maintain data integrity and update donor profiles to ensure accurate and meaningful engagement with donor

Event & Donor Care Support

  • Provide onsite or virtual support for major fundraising events, contributing to memorable donor experiences

Operational Collaboration & Process Optimization

  • Support the Gift Processing Coordinator on process reviews and improvements
  • Assist with procedural documentation and training materials that empower team learning and consistency

Reporting & Ad-hoc Analysis

  • Generate and distribute ad-hoc reports as requested by Gift Processing leadership to support strategic decision-making
  • Provide data insights to inform operational decisions in collaboration with Gift Processing team
Qualifications & Requirements
  • College degree or equivalent training
  • Previous experience in accounts receivable role preferred
  • Strong communication skills with previous customer service experience
  • Detail-oriented with excellent organizational skills
  • Ability to work independently and multi-task to thoroughly complete concurrent projects
  • Experience working with Outlook, Word, Excel, Adobe PDF
  • Ability to learn new systems required, experience with Salesforce CRM preferred
  • Must be able to meet deadlines
  • Must be a team player in a small office environment
  • Must be willing to do some light travel to other regions
  • Must be willing to have flexible work hours as needed
