Seattle Botanic Gardens seeks an organized Rental Coordinator to manage center for Urban Horticulture events. You will handle weddings, meetings, and conferences, guiding each booking from inquiry to execution while ensuring safety and excellent client service.

Primary schedule is Saturday–Wednesday, 9 am–5 pm, with occasional evenings for events. Strong organizational, communication and vendor coordination skills are essential.

Qualifikationen

• HS Diploma or equivalent requirement.
• 2+ years in venue rental booking, event planning or coordination.
• Experience with invoicing and billing.
• Experience calendaring across multiple venues or locations.

Aufgaben

• Coordinate all logistical details of facility rental events from inquiry through execution and wrap up.
• Provide site visits and tours to prospective clients.
• Determine clients' event needs and execute venue rental agreements.
• Design event layouts and produce diagrams for client approval.
• Coordinate with clients and outside vendors on access, deliveries, equipment usage, policies, and catering.
• Gather permits, licenses, and insurance required for events.
