This position requires someone who is detail-oriented, dependable, proactive, and capable of keeping financial and administrative operations organized in a fast-paced environment.Key ResponsibilitiesManage Accounts Payable, including reviewing, entering, coding, and processing vendor invoices and scheduling paymentsManage Accounts Receivable, including invoicing, recording payments, monitoring outstanding balances, and following up on receivablesProcess and maintain payroll, including employee hours, payroll records, deductions, and related documentationPerform bank and credit card reconciliations and research/resolve discrepanciesMaintain accurate and up-to-date financial records in QuickBooksReview financial activity and maintain supporting documentation for transactionsMaintain vendor records, W-9s, certificates of insurance, and other required documentationCoordinate with accountants and other financial professionals as neededAssist with financial reporting and provide requested bookkeeping records and documentationOversee general office organization, administrative procedures, records, and filing systemsManage the company's vehicle fleet, including registrations, insurance documentation, inspections, maintenance/service schedules, and related recordsMonitor recurring company expenses, subscriptions, utilities, and vendor accountsMaintain organized digital records on the company's shared drive as well as required hard-copy filesAssist management with day-to-day office operations and special projectsCommunicate with vendors, employees, clients, and management regarding financial and administrative mattersIdentify discrepancies or issues and bring them to management's attention promptlyQualificationsPrior bookkeeping and/or office management experience requiredStrong working knowledge of QuickBooks Online and/or QuickBooks DesktopExperience with Accounts Payable, Accounts Receivable, payroll, and bank reconciliationsProficiency in Microsoft Excel, Outlook, and general Microsoft Office applicationsStrong understanding of basic bookkeeping and accounting principlesExcellent organizational skills and attention to detailAbility to manage multiple deadlines and changing prioritiesStrong problem-solving and follow-through skillsAbility to work independently while collaborating with management and other team membersProfessional written and verbal communication skillsAbility to maintain confidentiality when handling financial, employee, and company informationDependable, self-motivated, and proactiveJob DetailsSchedule: Monday through Friday, 8:00 AM – 4:30 PMEmployment Type: Full-TimeCompensation: $100-$130kBenefits: 401(k), health benefits, paid vacation, paid holidays, and bonusesE04JI80038m5409d811
