Job summary

HumanGood's White Sands life plan community in La Jolla, CA is seeking a full-time Administrative Assistant to join the Buildings & Grounds team. You will provide administrative support to coordinate services across departments and help residents maximize independence.

The role requires at least one year of clerical experience and a high school diploma, with some college coursework in clerical skills. You will schedule, file, draft correspondence, and maintain calendars while upholding HIPAA

Qualifications

  • High school diploma or equivalent.
  • Some college coursework or vocational schooling with clerical skills including transcribing, alphabetizing, filing, word processing, spreadsheets, tables and scheduling.

Responsibilities

  • Act as a liaison between departments for coordination of services.
  • Prepares letters, memorandums, reports, forms, invitations, and flyers.
  • Send out notices for meetings.
  • Create agendas, prepare minutes, and distribute reports and materials for meetings; use appropriate software.
  • Coordinate and update the Director of Buildings & Grounds schedule and calendar.
  • Coordinate and update Room Bookings and event setups; create work orders as needed.
  • Schedule and coordinate staff and resident committee meetings; issue scheduling notifications.
  • Organize and maintain an administrative filing system to comply with federal and state regulations.
  • Maintain department office supplies and resources; ensure HIPAA confidentiality.

Description White Sands, a HumanGood life plan community (CCRC) in beautiful La Jolla, CA, is seeking a full-time Administrative Assistant to join our Buildings & Grounds team. Shift: Full-Time Monday-Friday 8am-5pm with an hour lunch Pay Range: $21-$24/hr. based on experience To Be Successful In The Role, You Would Have

  • At least one year of clerical experience, or any equivalent combination of training and experience which provides the required skills, knowledge, and abilities.
  • High school diploma or equivalent
  • Some college coursework or vocational school courses emphasizing clerical skills, including transcribing, alphabetizing, filing, word processing, spreadsheets, tables and scheduling;

You would be responsible for providing Administrative Support to our Buildings & Grounds Department:

  • Act as a liaison between departments for coordination of services;
  • Prepares letters of correspondence, memorandums, reports, forms, invitations, and flyers
  • Send out notices for meetings
  • Creates agendas, prepares minutes, and distributes reports and materials for various meetings as required, using appropriate software
  • Coordinates and updates the Director of Buildings & Grounds schedule and calendar
  • Coordinates and updates Room Bookings relating to resident/department events, which includes creating work orders for event set-ups and breakdowns
  • Schedules and coordinates staff and resident committee meetings; completes scheduling notifications
  • Organizes and manages an administrative filing system to maintain federal and state regulations and other required administrative documents
  • Maintains department office supplies
  • Monitors and maintains supplies for the Resident Business Center
  • Maintains confidentiality of information in conformance with HIPAA regulations
  • Performs related essential duties as required
