Spec Seats International in Chicago, IL is seeking a highly organized Full Charge Bookkeeper / Staff Accountant to lead daily financial execution across AP, AR, payroll, and tax compliance. You will manage multi-state sales tax filings, vendor and customer billing, inventory valuation, landed costs, and monthly financial statements, with opportunities for career growth.

Qualifications

• Bachelor’s degree in Business, Finance, Accounting or equivalent practical experience.
• 7-10+ years of full-cycle bookkeeping or staff accounting experience, preferably in product-based, B2B wholesale, or e‑commerce.
• Advanced proficiency in Excel and QuickBooks (Online/Desktop) with payroll processing systems (ADP preferred).
• Strong understanding of multi-state sales tax regulations and B2B exemption management.

POSITION PURPOSE

We are seeking a highly organized, analytical, and detail-oriented Full Charge Bookkeeper / Staff Accountant to lead daily financial execution and uphold system integrity across all accounting functions. In role you will manage full-cycle accounts payable and receivable, enforce multi-state sales tax compliance, and ensure precise inventory and prepare financial statements. 3. Inventory & Freight Valuation

Track landed costs, customs, and margin impacts from freight fluctuations to ensure accurate financial reporting.

KEY RESPONSIBILITIES

• Accounts Payable & Bill Payments: With a bias towards system automation, receive and review all incoming bills for accuracy against purchase orders and receipts. Enter bills into QuickBooks, set up automated bank rules, and submit batches for approval. Execute approved payments (ACH/wire/credit card) and record them in QuickBooks. Maintain the AP email inbox and develop ongoing AP projections.
• Accounts Receivable & Billing: Field routine vendor and customer billing questions. Generate invoices and follow up consistently on standard past-due accounts. Generate regular AR reports and AR projections.
• Payroll Operations (ADP): Enter employee timesheets into ADP and process the standard payroll cycle. Ensure ADP journal entries sync cleanly into QuickBooks.
• Sales Tax Management (Shopify & B2B): Pull liability reports from Shopify for retail transactions. Collect, verify, and file B2B resale exemption certificates, and tag exempt B2B sales in QuickBooks. Execute routine sales tax filings and map tax data to QuickBooks ledger accounts. Monitor multi-state nexus thresholds for both e-commerce and wholesale channels, and manage audit defense for B2B exemptions.
• Inventory & Freight Accounting: Check freight bills against original purchase orders, log shipping costs, and record customs duties. Enter physical inventory receipts and analyze true landed costs. Post adjusting journal entries for inventory valuation and track the margin impact from freight fluctuations.
• Banking & System Integrity: Clear the daily QuickBooks bank feed and precisely match transactions. Handle monthly bank and merchant account reconciliations. Execute targeted system maintenance.
• Business Licenses & Registrations: Submit routine annual license renewals. Pay registration fees via QuickBooks and maintain current permit files.

CANDIDATE QUALIFICATIONS & SKILLS

• Location: This role is based in the Chicago, Illinois area.
• Professional Experience: 7-10+ years of full-cycle bookkeeping or staff accounting experience, preferably within a product-based, B2B wholesale, or e-commerce environment.
• System Mastery: Advanced proficiency in Excel, QuickBooks (Online/Desktop) and payroll processing systems (ADP preferred). Experience pulling and interpreting financial liability reports from Shopify.
• Tax & Compliance Knowledge: Strong understanding of multi-state sales tax regulations, nexus thresholds, and the management of B2B exemption certificates.
• Inventory Accounting: Familiarity with true landed cost analysis, freight fluctuations, and posting adjusting journal entries for accurate inventory valuation.
• Attention to Detail: Meticulous data entry and analytical skills, with a strong ability to reconcile merchant accounts, bank feeds, and complex legacy AP/AR records.
• Education: Bachelor’s Degree in Business, Finance, Accounting, or equivalent practical industry experience.
• Reconciliation: 100% completion of monthly bank and merchant account reconciliations within the scheduled close period. High level of accuracy. Timely and accurate preparation of financial statements.
• AP/AR Efficiency: Timely processing of vendor bills and maintaining a healthy Accounts Receivable aging standard.
• Tax & License Compliance: Zero missed deadlines for state sales tax filings, nexus monitoring, and annual business license renewals.

COMPENSATION

Starting compensation is based on industry, relevant experience and location standards.Salary range $75,000 - $105,000.
