Job summary

Vynca Inc. is seeking a Patient Access Coordinator to be the first point of contact for patients, families, providers, and health plans. You will own inbound calls and manage referrals end to end, coordinating intake and pre-admission activities.

The role requires healthcare experience, calm under pressure, bilingual English/Spanish, and availability EST 8:30-5:00 with occasional evenings or weekends. You’ll work with HIPAA guidelines and multiple systems to ensure smooth, compliant patient

Qualifications

• Associate degree or medical/business office training preferred.
• 2+ years in a high call volume role (call center, medical front office, patient access or intake).
• Healthcare experience required; palliative care/home health/hospice experience preferred.
• Demonstrated de-escalation skills with distressed callers and the judgment to elevate when needed.
• Ability to recognize clinical trigger words; fluency with SWs/RNs/MAs/chaplains a plus.
• Strong multitasking across phone, documentation, and multiple systems (Google Workspace, Salesforce, EHR).
• HIPAA knowledge and cultural competency for sensitive conversations.
• Available Monday–Friday 8:30–5pm EST; occasional evenings/weekends.
• Bilingual English/Spanish required.

Responsibilities

• Serve as the primary point of contact for inbound calls and referrals, meeting targets and flagging risks.
• Assess caller needs and route or warm-transfer to the right department on first contact.
• De-escalate distressed callers and involve supervisor or clinician when needed.
• Own direct referrals end to end; manage intake, pre-admission assessment, scheduling support, and hand off to EMA.
• Document call and intake details in real time; maintain databases and logs.
• Manage voicemails, callbacks, and after-hours messages within timeframes.
• Meet call handling and referral prep targets; participate in coaching and team meetings.
• Maintain HIPAA compliance and perform other duties as assigned.
