Job summary

Tennessee Orthopaedic Alliance is seeking a Front Office Supervisor to oversee daily front desk operations, ensuring a professional, patient-centered experience in a fast-paced clinic.

You'll lead front desk staff, manage registrations and scheduling in the EMR, monitor patient wait times, and coordinate with HR on staff development, while maintaining HIPAA compliance and accurate billing processes. This on-site role offers opportunities to improve clinic flow and patient access.

Qualifications

  • 3–5 years of experience in a medical office setting; supervisory experience preferred.
  • Strong knowledge of medical front office operations, including scheduling, insurance verification, and patient registration.
  • Experience with EMR / practice management systems.
  • Excellent leadership, communication, and problem-solving skills.

Responsibilities

  • Supervise, train, coach, and evaluate front desk team members.
  • Assist in hiring staff for front desk positions.
  • Develop and manage staff schedules to ensure adequate coverage based on patient volume.
  • Provide ongoing performance feedback and support employee development.
  • Address employee concerns in a timely and professional manner in collaboration with HR.
  • Ensure a welcoming, professional, and efficient patient check-in and check-out process.
  • Monitor and improve patient wait times and front office workflow.
  • Serve as the point of escalation for patient concerns and resolve issues promptly.
  • Promote a culture of service excellence and patient-centered care.
  • Oversee daily front desk functions including patient registration, insurance verification, scheduling, and payment collection.
  • Ensure accuracy of demographic, insurance, and billing information in the EMR/practice management system.
  • Monitor appointment scheduling to optimize provider templates and clinic flow.
  • Maintain compliance with organizational policies and procedures.
  • Ensure accurate collection of co-pays, deductibles, and outstanding balances.
  • Reconcile daily cash drawers and ensure adherence to financial controls and policies.
  • Monitor front-end revenue cycle processes to minimize registration and billing errors.
  • Collaborate with clinical staff, providers, and other departments to ensure seamless patient flow.
  • Communicate scheduling issues, delays, or patient concerns effectively across teams.
  • Support coordination of referrals, authorizations, and follow-up appointments as needed.
  • Ensure compliance with HIPAA and all applicable healthcare regulations.
  • Conduct routine audits of front desk processes to ensure accuracy and efficiency.
  • Implement process improvements to enhance patient access and operational performance.

The Front Office Supervisor is responsible for overseeing the daily operations of the front office to ensure an efficient, professional, and patient-centered experience. The Front Office Supervisor is a working supervisor that plays a critical role in supporting patient access, patient experience, and overall clinic flow.

Key Responsibilities
Staff Leadership & Development
