Sophisticated Hearing is a modern audiology and hearing healthcare clinic in Ridgewood, NJ, known for delivering personalized solutions and compassionate care. As the practice continues to grow, they are expanding their front office team to meet rising patient demand.

Position Overview

The Front Office Coordinator serves as the first voice and face of the practice—playing a crucial role in patient experience, from the initial phone call to the in-office visit. This role is ideal for someone who’s confident, proactive, and excels at creating warm, engaging conversations with new and returning patients alike.

The ideal candidate brings energy, curiosity, and a talent for multitasking. They know how to guide a conversation to uncover patient needs, build trust, and present the clinic as the best choice for hearing care—while keeping operations running smoothly behind the scenes.

Key Responsibilities

  • Patient Reception & Scheduling: Greet patients warmly, manage schedules, and maintain accurate records.
  • Phone Engagement & Inquiry Management: Handle incoming calls with professionalism and warmth. Use exploratory, two-way conversations to understand patient needs and help them feel confident in choosing the practice.
  • Insurance & Financial Coordination: Verify benefits, manage billing processes, and support claim submissions.
  • Patient Records & Office Support: Maintain accurate, confidential records and assist with daily administrative tasks to ensure smooth clinic operations.
  • Patient Communication & Education: Provide essential information and materials, coordinate referrals, and follow up on patient inquiries.
  • Project & Workflow Support: Participate in quality improvement initiatives and juggle multiple priorities effectively.

Requirements

  • Experience in an ENT, Audiology, or Hearing Aid practice strongly preferred
  • Exceptional customer service skills, especially over the phone
  • Excellent communication—both verbal and written
  • Confident, personable, and able to make patients feel at ease
  • Motivated, proactive thinker with strong multitasking abilities
  • High school diploma required; some college coursework preferred
