Position Overview:

The Front Office Coordinator at SENTA Partners serves as the first point of contact for patients, visitors, and staff. This role is vital in ensuring the smooth and efficient operation of the practice by managing front office tasks, providing excellent customer service, and supporting the clinical team. Responsibilities include scheduling appointments, managing patient information, and facilitating communication between patients and medical staff.

Key Responsibilities:
  • Greet and check-in patients in a friendly and professional manner.
  • Manage appointment scheduling, including rescheduling and cancellations.
  • Answer calls, respond to inquiries, and direct calls as needed.
  • Verify and collect patient information, including insurance details and demographics.
  • Maintain patient records in the practice management system with accuracy and confidentiality.
  • Process payments, handle billing inquiries, and provide receipts.
  • Coordinate communication between the front office, clinical staff, and physicians.
  • Keep the front office area organized and clean.
  • Assist patients with forms and paperwork.
  • Manage office supplies for front office operations.
  • Address patient concerns empathetically and escalate when necessary.
  • Support administrative tasks such as data entry, filing, and correspondence.
  • Adhere to HIPAA and company policies regarding patient confidentiality.
Qualifications:
  • High school diploma or equivalent; additional education in medical office administration is a plus.
  • Experience in a front office, administrative, or customer service role, preferably in healthcare.
  • Excellent communication and interpersonal skills with a customer-focused approach.
  • Ability to multitask and manage a busy environment with attention to detail.
  • Proficiency in practice management software and Microsoft Office.
  • Knowledge of medical terminology and insurance procedures is advantageous.
  • Ability to work independently and in a team.
  • Professional appearance and demeanor, committed to positive patient experiences.
  • Strong organizational and time management skills.
