About this role

Job Summary We are seeking a reliable and detail-oriented Front Office Associate to join our Pediatric Clinic. This role is the first point of contact for patients and plays a critical role in ensuring smooth front office operations, accurate scheduling, billing coordination, and excellent patient service. The ideal candidate is organized, patient-focused, and experienced in medical office administration and credentialing.

Key Responsibilities
  • Greet, register, and check in patients in the system
  • Confirm appointments and coordinate scheduling with providers
  • Respond promptly and professionally to patient inquiries, requests, and concerns
  • Collect co-pays at the time of service or via phone for remote appointments
  • Ensure patient billing and insurance information is accurate and updated daily
  • Communicate pertinent patient and scheduling information to appropriate departments
  • Ensure billing for all services is accurate, timely, and fully documented
  • Support efficient cash collection and reimbursement practices while maintaining compliance with all applicable laws, regulations, and company policies
  • Maintain confidentiality and comply with HIPAA and other healthcare regulations
  • Perform medical credentialing tasks as required
Required Qualifications
  • High school diploma or GED required
  • Minimum of 2 years of office administrative experience, preferably in a medical or healthcare setting
  • Previous experience in customer service, front desk, or patient-facing roles
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Proficiency with computers and office software (Excel, Word, Google Docs)
  • Ability to build rapport with patients and work effectively in a team environment
  • Medical credentialing experience required
Preferred Qualifications
  • At least 1 year of experience using electronic health or medical record (EHR/EMR) systems
  • Working knowledge of HIPAA, medical insurance regulations, and terminology for private, state, and federal payers
  • Familiarity with coding, billing, and reimbursement protocols
  • Typing speed of at least 40 WPM with accuracy
  • At least 2 years of experience using office equipment and systems, including MS Office, email, automated billing systems, copiers, fax machines, and postage machines
  • Basic administrative accounting skills
