Residence Life and Housing | PennWest Edinboro
The Residence Life and Housing Office, located within the Student Affairs Suite at PennWest Edinboro, is seeking a Front Office Assistant to serve as a welcoming and professional presence in our shared front office area. While this position is employed by Residence Life and Housing, the student will serve as the primary point of contact for all visitors entering the suite, including students, families, faculty, staff, and guests.
This role is ideal for a student who is organized, personable, dependable, and able to manage multiple responsibilities while maintaining a high level of professionalism and confidentiality.
Position Overview
The Front Office Assistant provides customer service and administrative support for the Residence Life and Housing Office while also assisting visitors to the broader Student Affairs suite. This position plays a key role in creating a positive first impression, supporting daily office operations, and ensuring visitors are connected with the appropriate resources in a timely and professional manner.
Key Responsibilities
Front Desk Support
- Greet and assist all visitors entering the suite in a professional, friendly, and welcoming manner
- Serve as the first point of contact by answering phones, responding to general inquiries, and directing visitors appropriately
- Provide accurate information regarding housing (applications, room selection, roommate matching, etc.), dining, OneCard services, and campus resources
- Communicate concerns, student issues, or facility needs to supervisors in a timely manner
- Assist with special projects and other duties as assigned
- Direct visitors to appropriate offices within the Student Affairs suite as needed
- Distribute mail and packages in coordination with the Mail Room and Information Desk
- Perform general office tasks such as filing, copying, scanning, and data entry
- Maintain a clean, organized, and secure front office area and shared workspace
Housing Operations Assistance
- Distribute posters and materials to residence halls as needed
- Assist with student lock-outs and follow proper procedures for access and documentation
- Serve as a resource for students seeking support services and connect them with appropriate campus offices
- Support housing operations during high-traffic times such as opening, closing, and room change periods
Required Qualifications
- Must be a currently enrolled PennWest Edinboro student
- Minimum GPA of 2.0 (must be maintained during employment)
- Strong interpersonal, verbal, and written communication skills
- Ability to provide excellent customer service in a fast-paced, team-oriented environment
- Strong organizational skills and attention to detail
- Ability to maintain confidentiality and adhere to FERPA guidelines
- Demonstrated reliability, punctuality, and professionalism
Preferred Qualifications
- Previous customer service or office experience
- Experience living on campus and navigating the housing process, including completing a housing application, participating in roommate matching, selecting a room, and residing in university housing—providing familiarity with processes and information commonly needed by students
- General knowledge of campus resources, housing processes, or student services
- Familiarity with Microsoft Office (Word, Excel, Outlook) and/or Google Suite
Job Expectations
- Availability during business hours, with flexibility during peak periods (e.g., move-in, opening weeks)
- Maintain consistent attendance and punctuality for all scheduled shifts and trainings
- Ability to work independently while also contributing as part of a team
- Demonstrate professionalism in all interactions with students, staff, and guests
- Participate in required training sessions and staff meetings
- Follow all university policies, procedures, and departmental expectations
