Job summary

PennWest University seeks an Admissions Support Specialist to assist the Admissions Marketing/Recruitment team. You will handle inquiries via email and phone, guide prospects through the admissions funnel using Slate and Banner, and support Welcome Center operations.

Ideal candidates have strong MS Office skills, excellent communication, and detail-oriented document processing. This full-time role requires Monday–Friday, 8 am–4 pm, with opportunities to collaborate across campuses.

Responsibilities

  • Monitor admissions email account and forward emails to the appropriate parties.
  • Assist prospective students and applicants through admissions funnel using Slate and Banner.
  • Provide customer service to callers, greet walk-ins, and support Welcome Center operations.
  • Prepare, organize and submit application documents for processing; manage correspondence and mail flow.

Job description

This position supports the Admissions Marketing/Recruitment area of Enrollment Management and reports to the Director of Admissions Operations. Essential Duties include but not limited to:
60% Admissions Customer Relations/Service

  • Monitor the Pennsylvania Western admissions email account -
  • Reply to and/or forward emails within the admissions@pennwest.edu account.
  • Help callers with their questions and/or forward calls to the appropriate person/department through warm transfers
  • Provide assistance to prospective students and applicants throughout the admissions funnel utilizing Slate and Banner.
  • Return voice messages and assist callers for all campuses.
  • SMS (text messages) – Respond to outreach student replies, assign unassigned messages to the appropriate counselor.
  • Greet and provide customer service to walk-in guests.
  • Assist in the Welcome Center and event coverage when needed (checking in students and registering using Slate).

40% Operational

  • Prepare, organize and submit all application documents (electronic and/or hard copy) for processing.
  • Submit any application changes to processing.
  • Assist with the creation of admissions mailings, i.e. honors, scholarships, and acceptance packets.
  • Attach decision letters and scholarship letters to the students’ records in Slate.
  • Defer Deposits upon Approvals.
  • Returned Mail flow Mail, Acceptance Packets, and Scholarship Letters. (Inactivate addresses/reach via text/email for updated mailing addresses. Resend packets and letters. Note Slate Records.
  • Input Inquiry Cards (RFI’s) from Open Houses, College Fairs, Sports Recruits, emails, etc.
  • Provide support and guidance to student workers.
  • Monitor admissions recruitment print materials, products, and promotional items/update spreadsheet and reorder as needed.

Other duties as assigned.

Required Skills, Knowledge & Abilities
  • Knowledge of the use and functionality of Microsoft Office Suite software.
  • Knowledge of standard vocabulary and usage, spelling, grammar, and punctuation.
  • Ability to use an alphanumeric keyboard.
  • Ability to proofread information for conformance with prescribed standards.
  • Ability to sort and file information.
  • Ability to perform mathematical calculations.
  • Ability to follow oral instructions.
  • Ability to read and understand written materials.
  • Ability to communicate effectively orally.
  • Ability to communicate effectively in writing.
  • Ability to establish and maintain effective working relationships.
Minimum of Education / TrainingRequired Education Summary
  • Six months as a Clerical Assistant 1 (Commonwealth title); or
  • Graduation from high school; or
  • An equivalent combination of experience and training.
