Job description

Job Title: Clerical Associate III - Front Door Receptionist

Family Independence Administration provides temporary help to individuals and families with social service and economic needs to assist them in reaching self-sufficiency through various programs/services, such as: temporary cash assistance, SNAP, childcare, eviction prevention, adult protective services, job training, employment support, domestic violence assistance, child support enforcement, etc.

Under the supervision of the Front Door Reception (FDR) Supervisor, with independence to exercise judgment, the Front Door Receptionist is responsible for efficiently routing visitors to the appropriate service areas within a Family Independence Administration Model Center. This includes individuals applying for Public Assistance, Medicaid, Food Stamps, and those currently receiving assistance with scheduled appointments.

Responsibilities
  1. Greet and direct visitors, providing information about the services and asking the reason for their visit. Record arrival times and details.
  2. Access and review appointment logs in the Front Door Electronic Reception System (FRED) to verify scheduled appointments.
  3. Perform case searches in FRED; issue numbered, color-coded tickets according to visitor policy; provide children’s passes when necessary; direct visitors to the appropriate floors or service areas.
  4. Review submitted documents such as appointment letters or court papers, categorize and process materials, and explain available services.
  5. Assess emergency situations to prioritize quick service and resolve complaints efficiently.
  6. Distribute application kits for Public Assistance, Medicaid, and Food Stamps; assist applicants with questions and case status inquiries; provide walk-in support for employment, domestic violence, or other issues.
Hours/Shift

9:00am - 5:00pm

Minimum Qualifications
  • High school diploma or equivalent recognized by a state or accrediting organization.
  • At least one year of satisfactory clerical experience.
Skills Requirements
  • Typing proficiency of at least 100 keystrokes per minute.
