Job summary

Optical Outlets seeks a customer-focused team member to assist patients and support doctors and the Office Manager in maintaining excellent patient flow.

You will greet patients, explain pricing and processes with transparency, verify insurance, and handle administrative tasks while assisting with eyewear dispensing as needed.

Qualifications

  • Two years of experience in a related field is preferred.
  • Proficient with MS Office and appointment/payment systems.

Responsibilities

  • Assist patients and support the Doctor and Office Manager to ensure good patient flow.
  • Greet patients, explain processes and exam pricing transparently.
  • Check-in and pretest patients efficiently and accurately.
  • Verify insurance prior to Doctor encounter.
  • Answer phones promptly and professionally.
  • Assist in dispensing eyewear when needed.
  • Maintain high patient satisfaction from first contact.
  • Handle eyewear fittings with care and accuracy.
  • Inform Office Manager of office issues from staff or patients.
  • Perform tasks as assigned by Office Manager.

Description

The primary function of this role is assisting patients of Optical Outlets while supporting the Doctor and Office Manager to ensure excellent patient flow.

Essential Functions
  • Attract and retain customers by providing unsurpassed customer service
  • Greet customers and explain the process and exam pricing in a transparent way
  • Check-in and pretest patients in an efficient and accurate manner
  • Ensure insurance is properly verified prior to Doctor encounter
  • Answer phones properly and in a timely manner
  • Assist in other areas of the office as necessary, including dispensing eyewear
  • Serve as a center of excellence for others with a focus on Right the First Time providing outstanding patient satisfaction from the first interaction
  • Handle tasks such as adjusting, or fitting eyewear carefully and correctly, ensuring details are thorough and exact
  • Inform Office Manager of any office problems noted by staff, doctors, or patients
  • Perform all tasks assigned by Office Manager
Requirements
Job Specifications

Typically has the following skills or abilities:

  • One to two years of experience in related field
  • Working knowledge of MS Office package
  • Effective verbal communication skills to prioritize multiple tasks and to be available for incoming calls and inquiries
  • Effective written communication skills to clearly document patient visits
  • Excellent interpersonal and rapport-building skills
  • Ability to ask appropriate and relevant questions to identify patient needs
  • Ability to listen, process transactions, and interact with patients simultaneously in a fast-paced environment
  • For roles that are remote (i.e., Work From Home (WFM)) or hybrid (i.e., partial onsite at a VSP location and WFM), must demonstrate a high level of engagement in virtual environments, including maintaining camera presence during meetings to support effective communication and team alignment
