Job summary

Front Desk Receptionist/Surgery Scheduler

Reports To:

Clinic Manager | Director of Patient Care Services

Hourly Range:

$19.50 - $31.97 (posted hourly range excludes overtime and bonuses which are not guaranteed)

Job Summary:

Ensuring proper scheduling of operative procedures and preparation and operating room schedule. Surgery Scheduler schedules all surgical procedures and assures that all of the appropriate clinical and insurance coding information is collected for the surgery schedule. Scheduler receives requests to schedule procedures from physician offices and schedules the procedure according to established guidelines. Uses initiative to maintain the registrar’s administrative responsibilities, and to solve registration-related problems. Strong computer literacy skills to be utilized with various registration, insurance eligibility and patient estimate tools. Keeps ancillary departments, and operating room staff, informed of problems, delays, and other situations that could impact the delivery of efficient, competent, and compassionate care. Initiates OR utilization for open or released block time, being mindful of patient safety, access, OR efficiency, patient service and physician satisfaction. Front Office Receptionist handles and routes all incoming calls and greets patients and patient families. Receptionist is responsible for insurance verification as needed, cash collections and the correct handling of patient charts.

Essential Job Functions
  • Coordinates and schedule surgical cases by collaborating with patients, families, staff, and providers offices and the greater community to schedule surgeries, pre-op physicals, and surgical planning testing.
  • Interacts with patients, physician offices, and other staff providing timely, accurate, and responsive information.
  • Coordinates with hospital vendors regarding surgical implants and equipment.
  • Ensures efficient written and verbal communication to various stakeholders.
  • Identifies scheduling barriers and implements solutions to improve scheduling results. Identifies ways to streamline surgical scheduling process and provides suggestions to managing staff.
  • Confirms all equipment scheduling needs including but not limited to: c-arm, hemasource, pathology, sterile surgical equipment and special order supplies.
  • Monitors OR schedule, releasing open block time appropriately.
  • Monitor and maintain bed calendar, ensuring appropriate bed scheduling for accurate census allocation
  • Consistently demonstrates a positive attitude. Fosters teamwork by helping others. Acknowledges and responds tactfully to all requests. Shows consideration in interaction with patients, family, and other healthcare team members by demonstrating listening skills and cooperation. Communicates and interacts with others in a professional, responsible, cooperative, and positive manner at all times.
  • Ability to effectively organize and prioritize tasks in order to complete assignments within the time allotted and maintain standard workflow.
  • Demonstrates confidence and knowledge in procedures, terminology, basic anatomy, and anesthesia methods. Consults with staff when unsure of an exam or procedure protocol.
  • Demonstrates knowledge of CPT and ICD-10 codes.
  • Adheres to and enforces scheduling guidelines along with all other hospital policies and procedures.
  • Practices caution and uses good judgment in relaying messages and giving information to patients, families, and visitors.
  • Demonstrates the highest degree of integrity and honesty. Able to work independently with little supervision.
  • Utilize concepts of age/developmental stages in interactions with patients and families.
  • Receives patients and visitors and provides assistance in scheduling appointments, patient registration, medical chart maintenance and the coordination of patient referrals.
  • Greets patients and visitors in a courteous and professional manner and verify patient contact and insurance information on file.
  • Registers the patients, while ensuring that all demographic information is current.
  • Ensures that required documents are received and documented in the patient’s record, such as Physician orders, result of patient history and physical exams, advance directives, patient bill of rights and notice of ownership disclosure.
  • Creates, files and retrieves patient charts as needed, ensuring proper security measures are followed to maintain confidentiality of all patient information.
  • Answer non-medical questions and give routine non-medical instructions.
  • Enters demographics of new patients, including insurance information, into the applicable system.
  • Ensures appropriate patient signatures are secured for the informed consents prior to service being rendered.
  • Ensures that referrals are available and, if required, coordinates the exchange of patient data with referral sources.
  • Answers incoming telephone calls, handling calls if applicable and otherwise routing calls to the appropriate party or taking messages.
  • Collects, verifies, and enters the applicable system, all insurance and third-party resources for payment.
  • May coordinate insurance verification with insurance companies through online eligibility verification system on a case-by-case basis.
  • Communicates with patients regarding patients’ financial responsibility and collects money such as copayments for the procedures.
  • May escort patients throughout the Center to insure proper office flow.
  • Understands and abides by all HIPAA policies and procedures.
  • Maintains inventory of office supplies.
  • This role excludes performing any clinical tasks related to patient, to include assessment or evaluation of patient’s medical condition or providing clinical advice or medical care or recommendations.
  • Demonstrated knowledge of potential exposure to hazardous materials (i.e. patient body fluids, disinfectant chemicals) and location of SDS sheets.
  • Participates in QAPI and Safety Program.

    • Follows through on problems that may compromise effective job performance by using appropriate chain of command.
Education

High School Diploma or equivalent required.

Experience

Office experience in a healthcare environment, medical terminology, ability to multitask and prioritization skills preferred. Experience with Microsoft Office, Outlook, Excel, Word, Power Point, and utilization of website search engines.

Physical Requirements

This position requires lifting, carrying, pushing, and/or pulling up to fifty (50)+ pounds while administering care to patients. Stooping, kneeling and/or crouching daily in delivery of patient care. Standing and walking for more than five (5) hours per day; running occasionally in responding to patient care emergencies.

Working Conditions/Environmental Exposures

Environmental hazards such as chemicals, solvents, needles, needle containers, sharps, blood, body fluids, various infectious/communicable diseases, infectious medical waste, radiation, and/or radioactive materials and/or radioactive waste, proximity to moving mechanical parts. Protective clothing/equipment may be necessary.

Animas Health Immunizations And Vaccinations Requirements
  • Hepatitis B- Lab evidence of immunity (titer) to Hepatitis B or three doses Hep B vaccine at appropriate intervals
  • Influenza- documentation of current seasonal flu vaccine (mandatory from November 1st through March 31st each year)
  • Measles, Mumps, and Rubella - Lab evidence of immunity (titer) to Measles, Mumps, and Rubella or 2 doses of MMR Vaccination
  • Varicella (chickenpox) - Lab evidence of immunity (titer) to Varicella or 2 doses of Varicella Vaccine
  • Tetanus, diphtheria, pertussis (Tdap) - documented proof of immunization
  • Tuberculosis Screening - Documentation of a two-step TB skin test within the past year OR lab verification of a negative TB Gold or T-Spot tuberculin test within the past 6 months
  • Vaccine records or evidence of immunity are required prior to 1st day of scheduled work.
