Position Overview

The Front Desk & Studio Operations Coordinator is a key member of the BDP team and serves as one of the primary faces of our organization.

This person is responsible for creating a welcoming family experience while ensuring that the studio’s administrative operations are organized, accurate, timely, and consistent. The ideal candidate balances warmth with professionalism, creativity with structure, and independent decision-making with strong teamwork.

We are seeking a self-starter who sees what needs to be done, takes ownership, communicates clearly, and follows through without requiring constant reminders.

This is an opportunity for someone who enjoys working with children and families, thrives in a fast-paced environment, welcomes constructive feedback, and wants to grow into greater responsibility as the business expands.

Key Responsibilities1. Front Desk & Family Experience
  • Welcome students, parents, visitors, prospective families, and community partners with warmth and professionalism.
  • Create a positive, organized, and inviting first impression for everyone who enters the studio.
  • Answer phone calls, respond to parent inquiries, and manage incoming communications promptly and professionally.
  • Communicate studio policies, tuition information, schedules, registration requirements, recital details, and important announcements accurately.
  • Help families navigate enrollment, class placement, account questions, and studio procedures.
  • Address concerns with empathy, confidence, and sound judgment while escalating sensitive or complex matters appropriately.
  • Maintain confidentiality and demonstrate professionalism in all family interactions.
  • Help create an environment where families feel informed, valued, and proud to be part of the BDP community.

Expectation: You do not have to know everything on day one, but you must be organized enough to learn, responsible enough to follow the process, and proactive enough to ask questions when something is unclear.

2. Administrative & Operational Excellence
  • Maintain organized, accurate records and ensure administrative tasks are completed on time.
  • Manage student enrollment, attendance, family information, class rosters, and registration updates.
  • Use studio management and communication platforms, including Dance Studio Pro, GoStudioPro, and Enrollio, as assigned.
  • Support tuition collection, account reconciliation, payment follow-up, and outstanding balance resolution according to established policies.
  • Follow checklists, standard operating procedures (SOPs), and established workflows consistently.
  • Monitor supplies, forms, uniforms, retail items, costumes, and other studio needs.
  • Keep the front desk, lobby, and administrative workspaces clean, organized, and presentable.
  • Prepare daily reports, maintain accurate documentation, and communicate unresolved issues before they become larger problems.
  • Identify gaps in existing processes and recommend practical ways to improve organization, efficiency, and accountability.
  • Support preparation for picture days, recitals, open houses, registration events, and other studio activities.

Expectation: you do not have to know everything on day one, but you must be organized enough to learn, responsible enough to follow the process, and proactive enough to ask questions when something is unclear.

3. Enrollment, Sales & Revenue Growth

At BDP, excellent customer service and business growth go hand in hand. Every inquiry represents an opportunity to serve another family.

  • Respond to prospective family inquiries promptly and follow up consistently with interested leads.
  • Help convert inquiries and trial classes into paid enrollments through thoughtful, professional communication.
  • Track leads, trial attendance, enrollment outcomes, and follow-up tasks to ensure opportunities are not overlooked.
  • Communicate the value of BDP’s programs, culture, and student experience confidently.
  • Support retention by helping existing families feel connected, informed, and supported.
  • Promote classes, workshops, summer intensives, master classes, special events, and other offerings.
  • Assist with approved promotions, referral initiatives, fundraising activities, and optional retail opportunities.
  • Identify opportunities to increase participation, strengthen family engagement, and generate additional revenue.
  • Contribute ideas and feedback toward studio enrollment and revenue goals.

Expectation: You understand that following up matters. You do not assume a lead is no longer interested because they did not respond the first time. You work within approved follow-up processes and help the team turn opportunities into results.

4. Communication, Problem-Solving & Accountability
  • Communicate clearly, respectfully, and promptly with the founder, instructors, administrative support team, parents, and other stakeholders.
  • Acknowledge messages and requests within established response-time expectations.
  • Communicate schedule changes, mistakes, concerns, delays, and obstacles proactively.
  • Take responsibility for assigned tasks and see them through to completion.
  • Use sound judgment to resolve routine issues independently within established policies.
  • Recognize when a matter requires leadership involvement and elevate it with relevant details and a proposed solution.
  • Receive feedback with maturity, ask clarifying questions, and implement corrections.
  • Participate in team meetings, provide updates, and maintain accurate written records when appropriate.
  • Help maintain a culture where concerns can be discussed openly, respectfully, and constructively.

Our communication standard: If you encounter a challenge, communicate it. If you make a mistake, own it. If you need help, ask for it. If you commit to something, follow through.

We value honest, respectful conversations—even when they are uncomfortable. We expect team members to address concerns directly rather than withdrawing from communication, ignoring messages, or leaving others uncertain about the status of an issue.

5. Community Engagement, Presentations & Creative Initiatives

We want BDP to continue growing beyond the studio walls. This role offers an opportunity to contribute to our public presence and community relationships.

  • Represent BDP professionally at community events, outreach activities, and approved public appearances.
  • Assist with planning and executing open houses, registration events, community partnerships, and promotional activities.
  • Help prepare and deliver presentations to parents, prospective families, community organizations, and potential partners.
  • Confidently explain BDP’s mission, programs, policies, and impact.
  • Generate creative ideas for family engagement, community outreach, enrollment campaigns, and special events.
  • Assist with presentations, event materials, promotional communications, and other projects as assigned.
  • Identify opportunities for BDP to build relationships with schools, churches, nonprofits, businesses, and community organizations.
  • Bring forward ideas that can improve the student experience, expand our reach, and support sustainable business growth.

Expectation: We are looking for someone who is comfortable being visible, speaking to a group, learning new skills, and helping BDP become an even stronger presence in our community.

6. Teamwork & Leadership Development
  • Work collaboratively with instructors, administrative support staff, and leadership.
  • Understand role boundaries and respect the responsibilities of other team members.
  • Help maintain a culture of mutual respect, dependability, and shared accountability.
  • Support team members when appropriate without neglecting assigned responsibilities.
  • Take initiative rather than waiting for instructions on every routine task.
  • Identify recurring challenges and recommend improvements rather than repeatedly working around the same problems.
  • Demonstrate punctuality, dependability, flexibility, and a willingness to learn.
  • Accept increasing responsibility as skills, judgment, and performance develop.
  • Participate in performance check-ins and work toward measurable professional goals.

The right candidate will have the opportunity to grow in responsibility as the business grows. Advancement will be based on demonstrated performance, leadership, initiative, reliability, and the ability to produce results—not simply length of employment.

Who You Are

Organized and detail-oriented. You enjoy bringing order to busy environments, keeping accurate records, maintaining lists, and ensuring details are not overlooked.

Personable and service-minded. You genuinely enjoy children and families, can build rapport easily, and know how to remain warm and professional when conversations are difficult.

A self-starter. You notice what needs attention, take appropriate action, and do not need constant reminders to complete routine responsibilities.

A confident communicator. You can speak clearly, write professionally, ask questions, share concerns, and lead a presentation when needed.

A problem-solver. You remain composed when something goes wrong, assess the situation, explore solutions, and know when to seek guidance.

Accountable and dependable. You arrive on time, honor commitments, follow through, and take responsibility for your work.

A process-oriented thinker. You appreciate systems and procedures because they create consistency, protect the family experience, and help the business operate efficiently.

A collaborative team player. You can work independently while remaining connected to the team, respecting leadership, and communicating what others need to know.

Open to feedback and growth. You are willing to learn, adjust, improve, and accept greater responsibility as you demonstrate readiness.

Entrepreneurial and resourceful. You are curious about how a business grows and enjoy identifying opportunities, generating ideas, and helping turn plans into action.

Aligned with our culture. You respect BDP’s Christ-centered mission, family-oriented environment, commitment to excellence, and age-appropriate approach to children's dance education.

Aligned with our culture.
